Overview
Data Coordinator - BMT Clinic - Full Time 8 Hour Days (Non-Exempt) (Non-Union) | University of Southern California (USC). Los Angeles, CA.
The Data Coordinator is responsible for obtaining, verifying and managing call management and on-call data. This includes data collection, data verification; data assurance and data analysis. The Data Coordinator assists administration by generating reports for process improvement and quality outcomes data management, and gathers data to meet requirements and requests for regulatory agencies as determined by hospital management. The role also involves maintaining systems and clinical information for clinical care, performance improvement and clinical research and evaluation.
Works as a member of the BMT/Cellular Therapy team and reports data to CIBMTR per FACT Guidelines, for process improvement and quality outcomes data management. The Data Coordinator also supports data needs for program-specific clinical committees and contracts with regulatory and contracting agencies as directed by management, and develops methods/forms to track device utilization and inventory for the BMT program.
Duties
- Data Entry & Report Preparation:
Enter data in a timely manner, ensuring accuracy. Prepare reports for committee meetings and other hospital departments/services as requested by manager. - Identify, code and classify data from the medical record and other documents (patient , history and physical, course of care and treatment, procedures, device utilization, physicians/institutions, stage of disease, treatment outcomes, case information, and regulatory data). Ensure data edits and discrepancies are resolved and each case is completed before transmission/reporting dates.
- Perform case-abstracting per facility, state, federal and accreditation requirements using defensible techniques. Monitor caseload to meet reporting time frames. Maintain 98%+ accuracy in abstracting as recommended by standard-setting agencies.
- Respond to data inquiries from facility, state or federal agencies. Prepare written responses and communicate with Manager.
- Develop standard reports to support quality and clinical initiatives. Format reports in Excel with statistical tools for Quality Committee meetings, including historical and external benchmark data. Create spreadsheets and tables with formulas to retrieve requested information.
- Restrict access to databases to maintain data security and integrity. Retrieve data to support department needs from clinical and administrative databases. Ensure data systems function properly for easy data entry and retrieval. Assist with IT liaison, audits and maintenance of database files. Maintain focus and attention to detail. Abstract from multiple sources (medical records, charts, external databases). Coordinate and participate in Project Coordinator duties as assigned.
- Manage study regulatory IRB documents. Work with BMT Coordinators and team to identify patients. Enroll all BMT autologous/Allogeneic and Cellular Therapy participants. Review data with MCS/Heart failure team and/or study PI. Communicate timely with Manager about software/process issues affecting case completion and reporting. Enhance communication between the BMT Clinical Team and BMT Lab and Fresenius regarding Quality Improvement projects. Attend Case Conferences, BMT program meetings and grand rounds as requested.
- Maintain minimum compliance and productivity standards as defined by the facility registry department under BMT leadership. Maintain confidentiality of information. Notify Manager of issues hindering data collection or clinical care. Contribute to a positive work environment and participate in site visits for initiation, monitoring and auditing. Perform data coordination activities in studies per protocol. Develop advanced skills across USC systems, registry tools, and reporting standards;
provide customer service to respond to data needs. - Performs other duties as assigned.
- High School diploma or equivalent
