Position Summary
The Legal Operations Analyst is the legal team's internal consultant and dedicated technology and operations partner Embedded within the legal department, this person acts as a trusted advisor to attorneys and legal staff. You will uncover the root cause of user frustrations through active listening, translate ambiguous legal needs into structured technical requirements.
The role combines hands-on building (designing reports, configuring workflows, and developing automations in the firm's case management and data platforms) with training attorneys and staff, answering their questions, and translating legal needs into working technical solutions.
Key Responsibilities
- Serve as the dedicated intake point for all attorney and legal-team requests - reporting, automation, dashboards, data questions, and system buildouts - owning each request from scoping through delivery.
- Conduct structured requirement-gathering and scoping sessions with attorneys and staff to define clear deliverables, timelines, and success metrics for all system and reporting requests.
- Design, build, and maintain reports and dashboards that give attorneys and firm leadership visibility into case progress, settlements, deadlines, and team performance.
- Build and enhance workflows, automations, and configurations in the firm's case management platform (Filevine) and connected systems (Hub Spot, Microsoft 365), partnering with the technology team on automations that run in the firm's Git Hub/Azure environment.
- Train attorneys and legal staff on firm systems, new buildouts, and reporting tools; create plain-English documentation and reference guides that outlast any single person.
- Field day-to-day attorney questions about data, systems, and process - resolving them directly or coordinating with the technology team when escalation is needed.
- Support legal department projects and practice-area initiatives with data analysis, process design, and buildout work, prioritizing in partnership with Jen.
- Document all buildouts, report logic, and automation behavior so institutional knowledge is preserved and transitions are seamless.
Qualifications
- 2+ years of experience in legal operations, litigation support, business/data analysis, marketing agency analytics, top 10 consulting firm data analysis or a comparable systems-facing role - law firm or legal industry experience strongly preferred.
- Demonstrated experience building within a case management or CRM platform (Filevine strongly preferred; Salesforce, Clio, Litify, or similar considered).
- Strong reporting and data skills: comfortable designing dashboards, working in Excel, and turning ambiguous questions from attorneys into clear, accurate reports.
- Experience with workflow automation tools or scripting (e.g., Zapier, Power Automate, Python, SQL) - enough to build, or to partner effectively with engineers who do.
- Excellent communication and training skills: able to explain technical concepts to non-technical attorneys and staff with patience and clarity.
- Highly organized self-starter who can manage a queue of competing requests, set expectations, and deliver reliably.
- Willingness to learn California lemon law practice deeply enough to anticipate the legal team's needs.
