Reports to People & Operations About the Role
ONYX Motors is looking for a hands-on Fulfillment Coordinator to own the day-to-day flow of customer orders from order readiness through delivery or customer pickup. This is a senior individual-contributor role with no direct reports and requires someone who can independently keep orders moving, follow up on missing information or product, and make sure every delay has a clear owner and next step.
The Fulfillment Coordinator works across Sales, Inventory, the warehouse team, carriers, and customers. The role reports through People & Operations and has authority to hold a shipment when required approvals, documentation, product checks, or quality-control signoff are incomplete.
What You Will Own- Coordinate customer orders from readiness through picking, packing, labeling, staging, dispatch, delivery, or customer pickup.
- Review open orders, identify anything missing, follow up with the responsible team, and keep ownership and next steps clear until the order is complete.
- Verify bike configuration, serial number, accessories, keys, QC signoff, customer and shipping details, and MCO paperwork where applicable before release.
- Confirm that required approvals and documentation are complete; hold shipments when requirements have not been met.
- Coordinate parcel, freight, large-product, and high-value shipments, including carrier scheduling, pickup, delivery appointments, tracking, and proof of delivery.
- Keep order status, tracking details, expected ship dates, and exceptions current in Zoho, Shopify, shipping tools, and related systems.
- Monitor shipments through delivery or pickup and proactively resolve carrier, documentation, product-readiness, or customer-handoff issues.
- Support returns, replacements, dealer orders, event shipments, affiliate shipments, and other non-standard fulfillment needs.
- Document recurring delays or errors and help improve fulfillment processes, checklists, and operating discipline.
- Fulfillment owns order readiness, shipment preparation, dispatch coordination, tracking, and follow-through to delivery or pickup.
- Inventory owns accurate stock, location, condition, allocation, and serial-number records and confirms product availability.
- The warehouse team shares the hands-on work of moving, picking, packing, labeling, and staging products, with the Fulfillment Coordinator coordinating priorities and completion.
- The systems owner handles technical integrations; the Fulfillment Coordinator maintains accurate day-to-day order and exception information in the systems.
Orders ship accurately and on time; every bike and accessory is verified before release; tracking and order status remain current; and any delayed order has a documented reason, accountable owner, and clear next step.
What We Are Looking For- 3+ years of experience in fulfillment, shipping, warehouse operations, logistics, order coordination, or a related role.
- Demonstrated ability to independently manage open orders, investigate blockers, follow up across teams, and drive issues through resolution.
- Hands-on experience picking, packing, labeling, staging, and coordinating the movement of physical products.
- Experience with parcel and freight carriers; large, high-value, technical, or serialized product experience is strongly preferred.
- Strong attention to product configuration, serial numbers, documentation, shipping accuracy, and customer commitments.
- Experience with Zoho and Shopify is preferred; experience with ERP, WMS, e-commerce, and shipping systems is also relevant.
- Comfort working directly in an active warehouse and shifting between system work and hands-on execution.
- Calm, accountable, and reliable when priorities change or urgent shipments arise.
- Experience with automotive, motorcycles or powersports, bicycles, hardware, consumer products, e-commerce, technical products, or 3PL environments is a plus.
- $30-$32 per hour, based on experience.
- 10 days of paid vacation annually.
