Materials & Purchasing Specialist

On-Site – This position is not eligible for remote or hybrid work.

The Materials & Purchasing Specialist is responsible for the ownership and continuous improvement of the Company's purchasing, inventory, warehouse, and material-management processes.

This position will learn the Company's current systems, including Dataforma, and will be expected to identify gaps, improve workflows, resolve issues, and build stronger purchasing and inventory controls. The role operates under general direction from the Director of Operations and requires independent judgment, problem solving, and cross-functional coordination.

• Own the purchasing process from material request through ordering, delivery, reconciliation, returns, credits, and PO closeout.
• Maintain the warehouse and material storage areas, including stock organization, inventory levels, weekly stock orders, transfers, returns, and material availability.
• Coordinate the flow of materials between vendors, the warehouse, and jobsites, ensuring materials are properly tracked and assigned to the correct projects.
• Learn, maintain, and improve Dataforma purchasing and material-management processes, including transfer sheets, project documentation, and purchasing records.
• Evaluate vendor pricing, availability, service, and delivery performance, and recommend purchasing options that support cost savings and operational needs.
• Analyze open POs, Home Depot activity, backorders, vendor credits, inventory levels, and material usage to identify issues and recommend improvements.
• Independently resolve purchasing, inventory, warehouse, and material-related issues and determine when escalation to Operations leadership is necessary.
• Partner with Operations, Project Management, field leadership, Accounting, and Administration to coordinate material needs and resolve discrepancies.
• Develop and improve purchasing, warehouse, inventory, and material-management procedures, controls, trackers, and workflows as the Company grows.
• Maintain accurate purchasing, inventory, vendor, and material records and support month-end reporting and reconciliation.

• Prior experience in purchasing, procurement, inventory, materials management, warehouse operations, construction operations, or a related field.
• Demonstrated ability to take ownership of processes and work independently.
• Strong analytical, problem-solving, organizational, and follow-up skills.
• Experience working with vendors, purchase orders, inventory, and business systems.
• Dataforma experience strongly preferred.
• Construction or roofing experience strongly preferred.
• Strong Microsoft Excel and Microsoft Office skills.
• Ability to communicate effectively across office, field, and leadership teams.
• Bilingual English/Spanish is a plus.

The ideal candidate is someone who can learn the Company's current purchasing, inventory, warehouse, and Dataforma processes, take ownership of them, identify where improvements are needed, and bring forward practical solutions.

This person should be comfortable working independently, making sound purchasing and material-management decisions, and helping build a more organized and scalable system as the Company continues to grow.
