ROLE OVERVIEW

The Production Coordinator is a key member of the Production team, partnering closely with the Production Manager to oversee the day-to-day execution of the production lifecycle from bulk purchase order through final delivery. This role requires hands‑on experience in domestic apparel production and a strong understanding of garment manufacturing, factory workflows, and production timelines.

ROLE OVERVIEW

The Production Coordinator is a key member of the Production team, partnering closely with the Production Manager to oversee the day‑to‑day execution of the production lifecycle from bulk purchase order through final delivery. This role requires hands‑on experience in domestic apparel production and a strong understanding of garment manufacturing, factory workflows, and production timelines.

The ideal candidate is highly organized, proactive, and thrives in a fast‑paced environment. They enjoy solving problems before they become issues, communicate effectively with internal and external partners, and take pride in keeping production organized, on schedule, and moving seamlessly across multiple factories, vendors, and cross‑functional teams.

KEY RESPONSIBILITIES
Production Coordination
  • Support in issuing production purchase orders
  • Track bulk production daily to ensure contractors and vendors remain on schedule
  • Maintain and update production WIP reports daily, ensuring key milestones are met and proactively communicating risks to timeline
  • Partner closely with the Production Manager to proactively identify production challenges and implement solutions
  • Communicate daily with domestic and overseas factories, contractors, mills, and freight partners to ensure timely execution
  • Request production markers and issue cut tickets
  • Coordinate delivery appointments with warehouses and 3PL partners
  • Monitor quality issues throughout production and coordinate resolutions with factories and internal partners
  • Submit production invoices and issue contractor chargebacks when necessary
  • Assist in monitoring production costs, contractor invoices, and purchase order accuracy
Fabric and Raw Material Management
  • Track and manage all bulk fabric purchase orders
  • Manage bulk fabric approvals and ensure fabric POs remain on schedule
  • Coordinate freight and monitor inbound fabric shipments, providing packing lists and tracking information to factories and confirming final receipt.
  • Update raw material liability chart throughout production and rectify inventory quarterly with factories/contractors
Cross-Functional Support
  • Collaborate with Development/Production Assistant on bulk trim ordering and inventory management
  • Communicate production status updates and potential risks to Merchandising, Planning, Design, Operations, etc
  • Monitor production overages and shortages and communicate discrepancies with appropriate teams
  • Collaborate on replenishment opportunities with Merchandising team
  • Support onboarding of new factories and production partners through counter‑sourcing initiatives and production testing
  • Identify opportunities to improve production processes and operational efficiencies
Qualifications
  • 3–5 years of apparel production experience; domestic experience required
  • Strong understanding of garment manufacturing, production timelines, and
  • factory workflows
  • Experience managing production purchase orders, WIP reports, and inventory
  • Knowledge of fabric purchasing, freight coordination, and production logistics
  • Excellent organizational skills with exceptional attention to detail
  • Strong written and verbal communication skills
  • Advanced proficiency in Microsoft Excel and Google Workspace
  • Ability to prioritize multiple projects in a deadline‑driven environment
  • Self‑starter with strong follow‑through and problem‑solving abilities
  • Collaborative team player with a positive, solutions‑oriented mindset
