Sr. Production Coordinator

A.L.C. is seeking a Senior Production Coordinator to manage the production process across assigned ready-to-wear product categories, from product handoff through final shipment and delivery.

This role is responsible for issuing purchase orders, maintaining accurate production information, monitoring production milestones, and coordinating with internal teams, overseas vendors, factories, mills, logistics providers, and the warehouse. The Senior Production Coordinator will work cross-functionally with Production Management, Product Development, Design, Technical Design, Planning, Fabric R&D, Merchandising, and Buying to support product quality, compliance, and on-time delivery.

The ideal candidate is proactive, highly organized, self-motivated, and comfortable managing multiple priorities in a fast-paced production environment. This individual must be an effective communicator and collaborative team player who takes ownership and anticipates production needs and risks.

• Manage the end-to-end pre-production and production process for assigned product categories, ensuring adherence to the seasonal time-and-action calendar.
• Issue purchase orders accurately and on time, including approved costs, quantities, size breakdowns, delivery dates, shipping terms, and vendor information.
• Process and communicate purchase-order revisions and maintain accurate PO and production information in the ERP system.
• Enter approved final production costs accurately into the ERP system.
• Maintain accurate and timely information in the WIP report, ERP system, and related production files.
• Lead internal WIP meetings and conduct regular WIP meetings with overseas vendors to review material readiness, approvals, testing, bulk production status, garment ex-factory dates, shipment bookings, and delivery risks.
• Document WIP updates, assign follow-up actions, and ensure outstanding items are resolved by the required deadlines.
• Partner with Product Development to support a complete and accurate product handoff into production.
• Work with Design to resolve production issues that could affect the approved design intent, materials, color, construction, or product quality.
• Collaborate with Technical Design to track fit, PP, and TOP samples and ensure vendors receive complete comments and approved specifications before bulk production and final inspection.
• Partner with Planning and Buying to confirm PO quantities, size breakdowns, delivery requirements, and changes affecting production or shipment schedules.
• Work with Merchandising to communicate production status and address changes affecting the assortment, quantities, approved costs, or delivery.
• Monitor fabric, trim, fit, testing, packaging, and compliance approvals, escalating delays or risks to Production Management and relevant cross-functional teams.
• Maintain consistent communication with vendors, factories, mills, and agents to identify and resolve production issues before they affect quality or delivery.
• Coordinate with vendors and the company’s logistics provider to schedule shipments based on garment ex-factory dates, PO ship windows, delivery requirements, and approved shipping methods.
• Submit and follow up on shipment booking requests, confirm cargo handover dates, and ensure required shipping documentation is provided accurately and on time.
• Track shipments through final delivery and communicate booking delays, missed handovers, documentation issues, and other delivery risks to the appropriate teams.
• Partner with the warehouse to address receiving delays, quality concerns, damages, shortages, overages, and inspection findings. Coordinate with vendors and internal teams on corrective actions, repairs, claims, chargebacks, and final resolution.
• Provide additional support across the Production department as business needs require.

• Minimum of three years of apparel production experience; designer ready-to-wear, knitwear, and/or sweater production experience is preferred.
• Strong understanding of the apparel development, pre-production, production, quality-control, and shipping lifecycle.
• Experience issuing and maintaining purchase orders in an ERP system.
• Experience working cross-functionally with Product Development, Design, Technical Design, Planning, Fabric R&D, Merchandising, Buying, and Warehouse teams.
• Experience managing fit, PP, and TOP sample approvals in partnership with Technical Design.
