XDS is seeking a Senior Inventory ClerkXDS is seeking a Senior Inventory Clerk to maintain accurate inventory and warehouse related expense records for X-LAB's U.S. operations. Working with warehouse managers and the Finance department, you will oversee inventory controls, reconcile warehouse activity, and maintain supporting records for warehouse expenses. As X-LAB adds locations, you will help implement consistent processes across our warehouse network. This role does not handle company-wide accounting, accounts payable (or receivable), payroll, taxes, or financial reporting.
WhatYou’ll Do
- Inventory Control – Maintain accurate, real-time inventory and serial-number records for bicycles, frames, spare parts, accessories, and company assets across all warehouse locations, including sellable, returned, damaged, warranty, demo, event, and marketing inventory.
- Ensure receipts, shipments, transfers, returns, and approved adjustments are fully documented and traceable from receipt through final sale or disposition.
- Plan and coordinate cycle counts and full physical inventories with warehouse managers, ensuring proper execution and documentation.
- Investigate discrepancies, trace transactions, identify root causes, and prepare reconciliation and variance reports with corrective actions.
- Validate inter-warehouse transfers so items are shipped, received, and closed in the system without unresolved discrepancies.
- Develop and improve standardized inventory procedures, workflows, controls, and reporting templates, and replicate them as new warehouse locations are added.
- Train warehouse staff on inventory handling, documentation, count procedures, and system use.
- Warehouse Bookkeeping – Maintain organized records of warehouse purchases, freight, supplies, repairs, refunds, vendor credits, and operating expenses by location.
- Verify warehouse invoices against purchase orders, receiving records, shipment records, or completed services and retain complete supporting documentation.
- Identify missing documents, duplicate charges, incorrect rates, and other billing discrepancies.
- Provide complete documentation and routine expense summaries to Finance for payment and reconciliation, and standardize warehouse recordkeeping across locations.
- Additional Support – Assist with picking, packing, labeling, and shipment preparation as needed, verifying item numbers, quantities, and serial numbers before release.
- Visit current or future warehouse locations as needed for setup, training, process implementation, and inventory counts.
- 3+ years of experience in inventory control, warehouse bookkeeping, accounting support, or supply‑chain administration.
- Experience reconciling physical inventory against an ERP, WMS, or inventory system.
- Experience with serialized inventory, cycle counts, transfers, returns, adjustments, and variance investigations.
- Experience verifying invoices and tracking warehouse operating expenses.
- Proficiency with Quick Books or a similar system.
