Position OverviewThe Payroll Administrator is responsible for the accurate and timely processing of a multi‑state, bi‑weekly payroll for 2,000+ employees across the U.S. and Canada, ensuring compliance with all applicable federal, state, and local regulations and company policies. This role serves as a critical resource for internal partners including Finance, Tax, General Ledger, and external auditors.
Key Responsibilities- Process all payroll transactions accurately and on schedule, including salaries, benefits, garnishments, taxes, and deductions, ensuring compliance with applicable regulations and company policies.
- Prepare and reconcile payroll‑related General Ledger entries in partnership with Finance.
- Research and resolve federal, state, and local payroll tax issues, including State Unemployment Insurance (SUI) and wage and hour law compliance.
- Maintain and audit employee data within payroll and HR systems, including compensation, job, and demographic information for new hires, terminations, and pay changes.
- Provide timely, accurate records and documentation to support internal and external audits, compliance activities, year‑end processes, and required reporting obligations.
- Support the expatriate population with tax reporting, cost‑of‑living adjustments, relocation expenses, and related compensation in collaboration with the internal Tax team.
- Partner with cross‑functional teams to identify and implement payroll process improvements, automation opportunities, and best practices.
- Provide exceptional customer service by responding to payroll and time‑keeping inquiries from employees, managers, and internal stakeholders in a timely and professional manner.
- Bachelor’s degree in Accounting, Finance, Business Administration, or Human Resources preferred; or a minimum of 5 years of directly transferable payroll experience.
- In‑depth knowledge of end‑to‑end payroll functions including preparation, balancing, internal controls, and payroll tax compliance.
- Strong expertise in time‑keeping systems including pay rules, accrual management, reporting, and resolving employee and manager inquiries.
- Excellent organizational skills with a high degree of accuracy and attention to detail.
- Proficiency in Microsoft Office Suite, with advanced Excel skills.
- Experience with payroll and time‑keeping platforms; ADP and/or Oracle Cloud strongly preferred.
- Outstanding written and verbal communication skills with a customer‑service‑oriented mindset.
