Overview
The Bookkeeper is responsible for maintaining the firm's day-to-day bookkeeping by accurately processing accounts payable, posting deposits, recording financial transactions, and processing trust account disbursements. This role focuses on keeping the firm's books current, organized, and accurate. Success in this position requires exceptional attention to detail, consistency, and the ability to follow established procedures while handling both firm and client funds responsibly.
CoreResponsibilities
- Process vendor invoices and payment requests accurately and timely.
- Issue payments by check, ACH, or other approved methods.
- Ensure invoices are properly coded to the correct operating or case expense account.
- Maintain vendor records and supporting documentation.
- Monitor outstanding invoices and ensure timely payment.
- Enter and maintain financial transactions in Quick Books.
- Deposit and post incoming checks and other receipts.
- Record payroll expense journal entries in Quick Books.
- Maintain organized and accurate accounting records.
- Assist with month-end bookkeeping requests from the firm's outside accounting team.
- Issue settlement checks to clients, vendors, medical providers, and others based on approved settlement documents.
- Process trust account transactions accurately and timely.
- Maintain supporting documentation for all trust account activity.
- Monitor trust account balances and notify management of any discrepancies or concerns.
- Follow all firm procedures regarding IOLTA and trust account management.
- Process daily deposits.
- Maintain Positive Pay with the firm's banking institution.
- Serve as backup support for payroll processing when needed.
- Assist with other bookkeeping and administrative accounting tasks as assigned.
- Keeps the books current and accurate.

- Proficiency with Microsoft Excel and Microsoft Office 365.
- Experience with legal accounting or trust accounting is a plus but not required.
- Ability to quickly learn firm-specific accounting procedures and software.
- 2+ years of bookkeeping or accounting experience required.
- Experience working in a professional office environment preferred.
- Quick Books experience preferred.
- Law firm, trust accounting, or IOLTA experience is a plus but not required.
Success in this role is less about advanced accounting knowledge and more about accuracy, organization, and consistency. The ideal candidate enjoys keeping records organized, following established procedures, and working with numbers. This position requires careful attention to detail, as you'll work with both the firm's operating accounts and client trust (IOLTA) accounts. Understanding the difference between operating expenses and case-related expenses—and ensuring transactions are posted to the correct account—is essential.
Training will be provided on our specific procedures, but accuracy and reliability are critical from day one.
Part-time (20 hours per week), on-site during regular business hours (Monday–Friday, 8:00 a.m.–5:00 p.m.). Compensation ranges from $24–$30 per hour
