Divine Word College is seeking a detail‑oriented, dependable, and highly organized Business Office Assistant to join our team. This full‑time, non‑exempt position plays an essential role in supporting the financial, payroll, and administrative operations of the College. The successful candidate will uphold confidentiality, accuracy, and professionalism while contributing to the smooth functioning of our campus community.
Key Responsibilities- Process accounting transactions in accordance with college policies and accepted accounting practices.
- Set up new vendors, verify and process accounts payable, issue payments, and post transactions.
- Manage student billing, accounts receivable, cash receipts, bank deposits, and monthly reconciliations.
- Process internal and external invoices and maintain accurate accounts receivable records.
- Prepare documentation and work papers for the annual audit.
- Process payroll and submit data by required deadlines.
- Handle tax transfers, wage reconciliations, garnishments, and similar payroll‑related transactions.
- Set up new employees in the payroll system and train them on timekeeping procedures.
- Maintain personnel records and track FMLA, vacation/PTO, and flex spending accounts.
- Prepare and submit monthly reimbursements and required wage documentation to the Province.
- Provide receptionist coverage as needed.
- Manage Business Office mail and support general office operations.
- Prepare cash receipts, count petty cash boxes, and assist with daily office functions.
- Assist community members and perform other duties as assigned by the Controller.
- High school diploma required; associate degree or some college in accounting or business preferred.
- Accounting or bookkeeping experience required.
- Strong attention to detail, accuracy, and organizational skills.
- Excellent verbal and written communication skills.
- Proficiency with Microsoft Office (Word, Excel) and computerized accounting systems.
- Ability to operate standard office equipment.
- Ability to lift up to 25 pounds.
