Summary
The Senior Administrative Program Coordinator, School of Medicine – Grateful Giving and Annual Giving reports to the Sr. Associate Director, Operations & Special Projects, and is responsible for overall administrative support for the Grateful Giving and Annual Giving programs within the School of Medicine’s Advancement Team. This role will support the Director of Annual Giving and the Executive Director, Health Systems.
PrimaryResponsibilities
Primary responsibilities include budget tracking and processing; communications coordination; data and project management support; event planning and support; and other administrative duties as determined by the manager. The Senior Administrative Program Coordinator will directly liaise with Advancement Communications in executing multi‑channel solicitations and engagement efforts; provide high‑level meeting coordination and support; manage expense, reimbursement, and invoice processing; and will provide administrative support for the Annual Fund’s 1834 Society, including reporting, processing, stewardship, and event planning.
They will also facilitate partnership between the Grateful Giving team and clinics to provide ongoing event management and preparation. This position works with other departments within Advancement, including all Major Gifts teams, Gift Planning, Stewardship, Corporate & Foundation Relations, Alumni Relations, Development Communications, and other departments throughout the university.
- Knowledge of university fundraising, events management, and constituency relations.
- Experience with event planning, social media, and marketing.
- Strong ethical standards and a commitment to maintaining confidentiality.
- Strong computer skills and working knowledge of database management and information systems.
- Excellent written and verbal communication skills.
- Strong organizational skills, time management and ability to multi‑task and prioritize projects.
- Ability to develop strong interpersonal relations.
- Ability to work independently, take initiative, and follow through with projects.
- Strong knowledge of Microsoft Office and the Adobe Suite.
- Ability to work occasional nights and weekends.
- High School Diploma and 2‑years related/transferable experience.
- Bachelor’s Degree.
- Any appropriate combination of relevant education, experience, and/or certifications may be considered.
- Experience with Grateful Giving and/or Annual Giving programs.
