The Executive Assistant provides comprehensive, high-level administrative and operational support to the Chief Executive Officer and other C-level executives as needed. This role requires discretion, independent judgment, time management and exceptional organizational skills to manage complex schedules, priorities, and confidential information. As a key partner to leadership, the Executive Assistant ensures organizational efficiency, supports fundraising initiatives, engages donors, builds perspective relationships and strengthens associations with community stakeholders while advancing the organization’s mission.
- Serve as a strategic partner and liaison to the CEO.
- Project a professional and positive image of the organization to staff, visitors and the community.
- Manage the CEO’s calendar, including agenda preparation, meeting coordination, and ensuring timely follow-up on action items to optimize productivity and organizational impact.
- Act as primary point of contact for the CEO, managing email and voice communications, prioritizing messages, summarizing key information, and delegating as appropriate.
- Prepare, draft, and review correspondence, reports, presentations, and other executive-level documents.
- Coordinate complex travel arrangements, schedules, accommodations, and itineraries for executive leadership.
- Schedule, attend, and document meetings, taking accurate notes and preparing minutes with actionable items.
- Maintain, update, and organize executive contacts, records, and confidential files.
- Oversee office operations as needed, including supply management, mail, and bookkeeping tasks.
- Support fundraising initiatives, volunteer engagement, and special projects as assigned, contributing to organizational strategy and effectiveness.
- Proven experience as a high-level executive assistant or similar role supporting C-suite executives.
- Exceptional organizational, time management, and prioritization skills.
- Strong written and verbal communication skills, with the ability to draft professional correspondence.
- High degree of discretion and confidentiality in handling sensitive information.
- Proactive, self-motivated, and able to anticipate the needs of executives.
- Strong interpersonal skills with the ability to build relationships across all levels of the organization.
- Proficiency in Microsoft Office Suite, calendar management tools, and other administrative software.
- Bachelor’s Degree (preferred)
- At least 3 years of Executive Assistant or Office Management experience
- Excellent communication, organizational, and time management skills
- Proficient in MS Office 365 Suite
- Experience with grant management software is a plus.
Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at a time.
