Job Description Summary /objective

The Southern University at New Orleans Museum of Art (SUNOMA) serves as a cultural, research, and teaching resource that engages campus and broader community audiences in the study and appreciation of African and African American visual arts and cultural heritage. The Office Coordinator provides administrative, operational, and programmatic support to ensure efficient daily functioning of the museum office and public‑facing spaces.

The incumbent manages office workflow, purchasing, scheduling, communication, and documentation activities, and provides customer service to students, visitors, faculty, and community partners. Given the shared instructional and cultural programming mission and close physical proximity of the units, the Office Coordinator also provides limited administrative and clerical support to the Center for African and African American Studies (CAAAS) and the Master of Arts in Museum Studies Program.

Support may include scheduling assistance, document preparation, coordination of shared events or exhibits, and maintaining common office resources, while SUNOMA remains the primary work assignment. This position requires professionalism, discretion, initiative, strong organization skills, and the ability to work collaboratively in a cultural and academic setting.

Grant‑Funded Position Statement

This position is 100% funded by the Title III‑B, Strengthening Historically Black Colleges and Universities (HBCUs) federal grant. Continued employment in this role is contingent upon the availability and continuation of federal funding. As part of the Title III Program, the Office Coordinator supports and advances the grant‑aligned objectives associated with the Southern University at New Orleans Museum of Art (SUNOMA).

  • Serve as the primary administrative contact for SUNOMA; receive and route calls, emails, and in‑person inquiries.
  • Maintain organized office and digital filing systems and museum administrative records.
  • Process mail, invoices, requisitions, purchase orders, and maintain supply inventory.
  • Prepare correspondence, memoranda, reports, meeting minutes, and draft communications or announcements.
  • Maintain internal and public museum calendars; assist with reservation of gallery, event, or meeting spaces.
  • Coordinate scheduling, logistics, and support for tours, programs, lectures, and special events.
  • Assist with preparation and on‑site support for museum events (e.g., supplies, sign‑in tables, seating, materials).
  • Track visitor attendance, museum usage reports, and data required for grant and institutional reporting.
  • Support scheduling and timekeeping for student workers, docents, and volunteers; compile time reports for payroll.
  • Provide limited administrative/clerical support to CAAAS and the Master of Arts in Museum Studies Program (e.g., scheduling assistance, document preparation, event logistics, shared materials).
  • Serve as liaison with G.L.A.M. partners (galleries, libraries, archives, and museums).
  • Participate in internal meetings and contribute to improving administrative processes.
  • All other duties as assigned.

Required education and experience
  • High school diploma required.
  • One (1) to two (2) years of administrative or office coordination experience.
