Office Administrator/ Coordinator
Coordinates installation of furniture and equipment, schedules and coordinates appropriate vendors, and manages resources during moves. Provides administrative and clerical support to the FF&E Planners for day‑to‑day activities including tracking purchase orders, requesting vendor quotes, participating in project meetings, maintaining records of dates and deliverables, coordinating walk‑throughs and field verifications, developing move schedules and tasks, coordinating move planning meetings, and assisting with project close‑out.
Responsible for processing all quote requisitions to obtain purchase orders and for general administrative duties such as scheduling meetings and outgoing correspondence.
- High School diploma or equivalent (required)
- Associate’s Degree or higher (preferred)
- 5 years of administrative experience (required)
- Support FF&E Planning team with effective schedule and task management.
- Communicate project information to team members in a timely and clear fashion.
- Process requisitions and invoices promptly.
- Track purchase orders, request vendor quotes, monitor project schedule progress, coordinate vendor walk‑throughs and field verifications, manage resources during moves, participate in project meetings, maintain records of dates and deliverables, develop move schedules and tasks, coordinate move planning meetings, and assist with project close‑out.

- Capacity to work with time constraints, frequent interruptions, and changing priorities.
- Excellent time‑management and project coordination skills with strong attention to detail and follow‑through.
- Excellent analytical skills, self‑directed, and able to work with little or no supervision.
- Ability to prioritize, organize, and coordinate multiple work assignments in a fast‑paced environment.
- Physical capability to stand and sit for extended periods, communicate orally and in writing, and work longer than 8 hours on occasions.
- Ability to push, pull, and carry items weighing up to 30 lbs.
- Willingness and ability to travel between system campuses.
Medium work:
Exerting 20 to 50 pounds of force occasionally, and/or 10 to 25 pounds of force frequently, and/or greater than negligible up to 10 pounds of force constantly to move objects. Requires walking or standing to a significant degree or sitting most of the time with pushing and/or pulling of controls. Must use mechanical lifting devices or team lifts. Must sit and stand for prolonged periods and travel between facilities.
Requires flexibility to work more than 8 hours a day. No exposure to blood or body fluids. No occupational risk for exposure to communicable diseases.
