Office Administrator/ Coordinator, Virtual Assistant/ Remote Admin
Job Duties
Coordinates installation of furniture and equipment, schedules and coordinates appropriate vendors, and manages resources during moves. Provides administrative and clerical support to the FF&E Planners for day‑to‑day activities, including tracking purchase orders, requesting vendor quotes, participating in project meetings to maintain records of all project dates and deliverables, coordinating walk‑throughs and field verifications, developing move schedules and tasks, coordinating move planning meetings, and assisting with project close‑out.
Responsible for processing all quote requisitions to obtain purchase orders and for administrative duties such as scheduling meetings and outgoing correspondence.
Required: High School diploma or equivalent
Preferred: Associate's degree or higher.
Required:
5 years of administrative experience. Computer literate and proficient with Microsoft Word, Excel, PowerPoint, and related programs.
- Supports FF&E Planning team with effective schedule and task management.
- Communicates about projects to team members in a timely and clear fashion.
- Processes requisitions and invoices promptly.
- Tracks purchase orders, requests vendor quotes, monitors progression of project schedules, coordinates vendor walk‑throughs and field verifications, manages resources during moves, participates in project meetings to maintain records of all dates and deliverables, develops move schedules and tasks, coordinates move planning meetings, and assists with project close‑out.
- Strong communication and interpersonal skills with the ability to interact and build relationships across all levels of the organization.
- Ability to handle complex situations and multiple responsibilities simultaneously.
- Capable of working under time constraints with frequent interruptions and changing priorities.
- Excellent time‑management and project coordination skills with strong attention to detail and follow‑through.
- Excellent analytical skills; self‑directed and able to work with little or no supervision.
- Ability to prioritize, organize, and coordinate multiple assignments in a fast‑paced environment.
- Ability to stand and sit for extended periods; able to communicate orally and in writing; may work longer than 8 hours on occasion.
- Physical ability to push, pull, and carry items weighing up to 30 lbs.
- Willingness and ability to travel between System campuses.
Medium Work – Exerts 20 to 50 pounds of force occasionally, 10 to 25 pounds frequently, or greater than negligible up to 10 pounds constantly. Must be able to sit and stand for prolonged periods and work a flexible schedule. Must be able to travel throughout and between facilities. No exposure to blood, body fluid, or tissue. No occupational risk for communicable diseases.
