Office Administrator/ Coordinator, Admin Assistant, Clerical
Immediate opening for a receptionist to join our team. Greet, communicate with and welcome clients and visitors. Answer, screen and direct phone calls in a polite and professional manner. Provide management, general administrative and clerical support to agency staff. Qualified candidate must possess professional personal presentation. Attention to detail, initiative, flexibility and reliability are a must. High school diploma or equivalent required.
Associate's degree in business administration or related field preferred.

Responsibilities- Maintain the front desk during regular business hours.
- Greet persons entering the establishment, determine nature and purpose of visit, and direct or escort them to the specific destinations.
- Take orders for merchandise or materials and send them to the proper departments to be filled.
- Maintain a current record of staff members' whereabouts and availability.
- Keep the lobby area clean and professional.
- Answer all phone calls and direct calls to the appropriate person, transfer to voicemail, or take a written message.
- Handle inquiries and provide information regarding programming, services and staff scheduling.
- Collect and sort all incoming and outgoing mail and drop it off at the end of shift.
- Maintain the postage machine and refill as necessary.
- Maintain copy machines throughout the administrative building; refill paper, call for repairs, and take monthly copy counts for the Fiscal Department.
- Make necessary bank deposits for the fiscal department.
- Operate other office equipment as directed.
- File documents as directed.
- Escort groups on city or establishment tours as needed.
- Conduct quarterly inventory counts of supplies and equipment in-house.
- Distribute supplies requested for program use when budget allows.
- Order necessary supplies from outside vendors, ensuring cost efficiency.
- Arrange teleconference calls.
- Maintain telephone logs, phone system, and staff directory.
- Collect payments as necessary.
- Maintain monthly calendar and employee birthday list.
- High school diploma or equivalent.
- Associate's degree in office or related field preferred.
- Two years of inventory control experience or one year as a receptionist/secretary.
- Ability to establish priorities and meet deadlines.
- Proficiency with a multi-line telephone system or switchboard.
- Knowledge of postal requirements and ability to maintain accurate counts of all agency equipment and supplies.
- Strong communication skills with vendors, visitors, and callers.
- Accuracy in routing callers and recording messages.
- Typing speed of 55 wpm with high accuracy.
- Basic math, grammar, spelling, and punctuation skills.
- Knowledge of Microsoft Office (Word, Excel, Access, PowerPoint, Outlook, Publisher) and other office equipment.
- Ability to work with confidential information.
- Team‑based work ability and adaptability to changing needs.
- Physical ability to move supplies, lift boxes, and use a 2‑wheel cart.
- Drive a car, maintain a valid license and insurance.
- Ability to pass a physical exam.
- Willingness to receive accommodations for disabilities.
- Must be able to read documents and use a computer.
- Must be able to communicate with coworkers, visitors, and callers.
- Must be able to move supplies delivered to the department.
- Must be able to use a 2‑wheel cart to move boxes of supplies and paper projects.
- Must be able to write, type, and use a phone system, copier, and fax machine.
This job is performed in normal office conditions with no significant exposure to dust, heat, fumes, or other hazards.
