Overview
Oregon Judicial Department (OJD) invites applications for a Court Operations Specialist (Court Clerk) position in the Polk County Circuit Court, Dallas, Oregon. The role provides courtroom support and administrative services to ensure accurate record‑keeping and smooth court operations.
Responsibilities- Provide courtroom support by taking minutes, preparing judgments and orders, entering data of court events and documents, operating the court’s electronic recorder, and ensuring an accurate record of proceedings.
- Schedule meetings, maintain court calendars for judges, prepare dockets, assemble documents and materials, notify parties, arrange prisoner transport, and coordinate court appearances for litigants and interpreters.
- Coordinate case activities and information with judges, court administration, other operations staff, attorneys, and litigants.
- Assist customers at the counter, on the phone, or via email and mail; organize and determine priorities; route parties and materials; accept and receive payments of costs, fees, fines, bail, and other monies; and balance the cash drawer at the end of each day.
- Obtain and recommend after review of financial information for court‑appointed attorney eligibility.
- High school diploma or equivalent and four (4) years of responsible administrative experience in a moderately complex office or business setting, or an equivalent combination of education and experience.
- Experience performing a variety of clerical or administrative support tasks, meeting strict deadlines, and maintaining accuracy in a noisy work setting.
- Experience using a variety of software programs to access and input information and complete tasks.
- Experience coordinating schedules and maintaining calendars.
- Experience providing customer service to a variety of individuals in challenging, stressful, or traumatic circumstances.
- Experience writing and reviewing documents for accuracy and completeness.
- Experience handling cash or other monetary transactions, generating receipts, and crediting accounts.
- Salary range: $4,765 to $7,392 per month (equivalent to $27.49 - $42.65 per hour or $57,183 - $88,708 annually).
- Medical insurance premiums paid 95% - 99% of the premium for full‑time employees.
- 10 paid holidays, 2 floating holidays, 3 personal business days, separate sick and vacation paid leave.
- 5% allowance for bilingual skills if passing the required skills test and assigned to use those skills on the job.
- Annual 5% increase in pay.
- Full‑time, Monday through Friday, 8:00 a.m. to 5:00 p.m. Overtime pay for hours worked in excess of 40 per week.
- Occasional after‑hours or overtime work may be required.
- Frequent phone and in‑person contact with people from diverse backgrounds and those facing challenging life circumstances.
- Use of telephone, OJD‑assigned computer with multiple monitors, copy machine, fax machine, and scanner.
