Our client is seeking an Office Project Manager / Federal Proposal Coordinator to support federal engineering pursuits and active infrastructure projects. Position SummaryThe Office Project Manager / Federal Proposal Coordinator is responsible for coordinating federal proposal efforts, task order responses, and project administration activities supporting engineering and infrastructure projects.
This position works closely with company leadership, project managers, technical staff, accounting personnel, clients, and teaming partners to coordinate proposal development, maintain project documentation, monitor schedules, support project execution, and help ensure compliance with federal procurement requirements.
ResponsibilitiesAs the Office Project Manager / Federal Proposal Coordinator, you will:
- Monitor SAM.gov and other federal procurement portals for contracting opportunities aligned with the firm's qualifications and strategic objectives.
- Review Requests for Qualifications (RFQs), Requests for Proposals (RFPs), Task Order Request Notices, and other federal solicitations to identify project requirements, submission criteria, evaluation factors, and deadlines.
- Coordinate internal go/no-go discussions and distribute opportunity information to leadership and technical staff.
- Develop proposal schedules, compliance checklists, compliance matrices, and submission timelines.
- Coordinate the preparation, review, and submission of SF330 Architect-Engineer Qualifications packages and other federal proposal documents through PIEE and applicable government procurement systems.
- Compile and organize resumes, project descriptions, organizational charts, certifications, licenses, project references, and supporting documentation required for proposal submissions.
- Maintain and update corporate qualifications, project profiles, personnel resumes, certifications, licenses, and past performance information to ensure proposal materials remain current and readily available for future pursuits.
- Coordinate proposal activities with project managers, technical staff, subconsultants, and teaming partners to ensure proposal milestones are completed on schedule.
- Coordinate responses to Task Order Requests issued under IDIQ, MATOC, GSA Schedule, and other federal contract vehicles.
- Perform quality control reviews to ensure proposal packages are accurate, complete, compliant, and submitted by established deadlines.
- Support project managers with project setup, scheduling, document control, and administrative coordination throughout the project lifecycle.
- Coordinate project meetings, maintain meeting agendas and action items, and track project schedules and deliverables.
- Assist with contract administration, project documentation, progress reporting, invoicing support, and project closeout activities.
- Coordinate communications with clients, subconsultants, and multidisciplinary project teams.
- Maintain organized electronic and hard-copy project files in accordance with company quality management procedures.
- Identify opportunities to improve proposal coordination, project administration, and document management processes to support continuous operational improvement.
- Bachelor's degree in Business Administration, Project Management, Construction Management, Engineering, Marketing, Communications, or a related field preferred.
- Three to five years of experience in project coordination, proposal management, project administration, or professional services.
- Experience supporting engineering, architecture, construction, or government contracting organizations is highly preferred.
- Experience coordinating federal proposals, task order responses, or qualifications-based procurements is strongly preferred.
- Strong organizational, communication, and time management skills with the ability to manage multiple projects and competing deadlines.
- Excellent attention to detail and commitment to producing high-quality, accurate work.
Experience with one or more of the following is preferred:
- SAM.gov
- PIEE
- SF330 Architect-Engineer Qualifications packages
- IDIQ, MATOC, or GSA Schedule contract vehicles
- Microsoft Office Suite
- Adobe Acrobat
- Electronic document management systems
- Project management and project tracking software
