Position Summary
The Receptionist / Front Desk Coordinator serves as the first point of contact for patients, physicians, visitors, and vendors entering Harvard Surgery Center. This position is responsible for providing professional front office support, maintaining an organized reception area, assisting with administrative tasks, and supporting efficient patient flow throughout the surgery center.
The ideal candidate is dependable, organized, courteous, detail-oriented, and able to maintain professionalism and confidentiality in a fast-paced healthcare environment.
Essential Duties and Responsibilities
- Greet and assist patients, visitors, physicians, and vendors in a courteous and professional manner
- Answer and direct incoming phone calls
- Check patients in and out for surgical procedures
- Verify and update patient demographic and insurance information
- Collect required forms, signatures, and payments when applicable
- Maintain patient confidentiality in accordance with HIPAA regulations
- Notify clinical staff of patient arrivals and assist with patient flow
Administrative Support
- Scan, upload, and file documents as needed
- Assist with organizing charts, paperwork, and daily schedules
- Maintain reception and waiting areas in a clean and orderly manner
- Assist with copying, faxing, emailing, and other clerical duties
- Receive and distribute mail and deliveries
- Help maintain office and front desk supplies
Communication & Coordination
- Communicate professionally with patients, physicians’ offices, vendors, and staff
- Relay messages accurately and promptly
- Assist with scheduling-related communication when needed
- Support management and clinical staff with administrative projects as assigned
Qualifications
- High school diploma or equivalent required
- Previous medical office or receptionist experience preferred
- Excellent customer service and communication skills
- Basic computer proficiency required
- Ability to multitask and remain organized in a fast-paced environment
- Professional appearance and demeanor
- Ability to maintain confidentiality and professionalism at all times
