POSITION

SUMMARY

This data entry role involves inputting diverse information, such as vessel reports and dock receipts, into the WARP system, while performing data corrections and coding. Responsibilities also include clerical duties, general office support, and the utilization of Microsoft Office and DOE systems like PAMS.

ESSENTIAL JOB FUNCTIONS
  • Input various data into screens such as:
    • C&D canal*
    • Cape Cod reports*
    • Dock Receipts*
    • Vessel name coding*
    • Data corrections – usually based on edit reports
    • Mapping text to codes for the operators
      • Some coding required
  • Keying coded VORs into WARP. This process can be expedited by duplicating select data from the previous VOR.
  • Formatting and importing automated VORS into the WARP interface where a converter exists for an automated operator.
  • Troubleshoot file upload errors
  • Keying from the VORs relative to Harbor Maintenance into This includes shipper name and address, tax identification number, and exemption code where applicable.
  • Keying other types of data, such as dock receipts and canal reports, into WARP.
  • Contractors will also perform various clerical duties as necessary, such as sorting, filing, copying, and documentation.
  • Assisting in general support duties normally assigned to other staff in case of absence or other changes in office workload, including, but not limited to, phone conference setup and travel, including arrangements, authorizations, and vouchers, as requested by supervisor.
  • Requires knowledge and use of Microsoft Office Suite and other Office of Science and DOE administrative systems, including PAMS.

EDUCATION/TRAINING
  • High school diploma or GED
  • An associate degree or post‑secondary certification in business administration, information systems, or data analytics is preferred.
EXPERIENCE
  • 1 to 3+ years of dedicated data entry, clerical, or administrative experience. Progression to Level III signifies a history of handling complex data sets and minimal supervision.
SKILLS/ABILITIES
  • Technical proficiency:
    Mastery of spreadsheet software like Microsoft Excel and enterprise databases. Familiarity with specialized government or scientific platforms, such as PAMS, is often required for senior agency roles.
  • Speed and accuracy: A verified typing speed of 60 to 80 WPM (words per minute) or a high keystroke‑per‑hour (KPH) rate, maintaining a 99% accuracy threshold.
  • Advanced capabilities:
    Experience in data scrubbing, error reconciliation, coding complex text into system variables, and generating edit reports.
