Job Description:
The purpose of your role as an Administrative Assistant
The Administrative Assistant provides broad administrative support to office and field staff. They will support managers and employees through a variety of tasks related to organization and communication. They will be responsible for confidential and time sensitive material and will assist with purchasing and general administrative tasks.
Administrative- Receive purchase order requests from field employees, send them to proper departments to be filled, and log/track on spreadsheet
- Order and dispense office supplies
- Process and verify new hire paperwork including I-9’s, W-4’s, and policy acknowledgement. Ensure completion of all paperwork and forward to the Human Capital Department
- Maintain vehicle list, tracking expirations, leases, etc.
- Notary Public preferred
- Track and monitor LEED goals
- Coordinate employee onboarding with General Contractor
- Compile and distribute weekly reports
- Filing paperwork and oversee miscellaneous document control
- Track and maintain rental equipment log
- Other tasks assigned as needed
- Manage OCIP – ensure proper paperwork is completed
- Update and maintain Subcontractor Insurance Certificates for all Subcontractors, ensuring all subcontractors have insurance in accordance with company policy prior to starting work.
- Maintain insurance database, tracking policy renewals
High school diploma/equivalent required;
Associate's degree preferred
- Strong knowledge of Excel, Microsoft Outlook and Word
- 2+ years of experience in an administrative/clerical role
- 2+ years of writing business level correspondence
- Experience in the construction industry preferred
- Ability to adapt quickly, learn new tasks independently, and take initiative
- Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology

Pay Range: $21.37 - $32.05 The actual salary offer will vary by candidate based on a wide range of factors such as specific skills, qualifications, experience, and location.
