Institutional Research and Records Coordinator
Responsibilities- Maintain performance standards and pursue goals, objectives, and activities that promote the mission, vision and value statement of the College.
- Assist in completing internal and external data requests, ensuring accuracy, consistency, and timely delivery of requested data.
- Regularly use Excel to manage, clean, and analyze institutional data, including working with large datasets, applying formulas and filters, and combining data from multiple sources.
- Co‑manage the data request management system for timely organization and response to requests.
- Assist in conducting internal data audits to ensure accuracy, including verifying student data through phone calls or other methods as needed.
- Manage the compilation, preparation, and publication of data for semester and annual Fletcher Facts reports.
- Support the preparation of the annual Program Health Index (PHI) reports, including gathering, verifying, and compiling necessary data.
- Maintain and update the institution’s data warehouse by saving relevant Cognos reports at key times throughout the semester, including at the End of Term (EOT), the 14th day, and other critical reporting points.
- Assist with data collection, updates, and reporting related to priority groups as part of ongoing institutional data needs.
- Assist in the development, distribution, and analysis of institutional surveys, including student, faculty, and alumni surveys.
- Employ and manage a comprehensive plan for collecting feedback on student, graduate, advisory board, employer satisfaction, and placement/employment outcomes.
- Collect and organize feedback from advisory boards, ensuring insights are documented and incorporated into planning and reporting, and produce reports or summaries based on survey results.
- Provide general support for institutional research and records functions, including assistance with special projects or reports as needed.
- Support Records and Registration with year‑round registration maintenance and clean‑up.
- Foster, demonstrate, and actively participate in a culture of mutual respect for students, guests, and co‑workers from all backgrounds, perspectives and abilities; communicate effectively with students, colleagues, and supervisors, and use appropriate channels of communication within the college community concerning procedures and inquiries.
- Attend and participate in scheduled activities such as graduation, open house/recruiting events, convocation, and required meetings; share ideas and information, and work toward common department and College goals.
- Serve on college committees as a member or chair and on search committees.
- Participate in professional development activities that enhance effectiveness (e.g., convocation, LCTC conference).
- Represent the college in a manner that promotes a professional and positive image.
- Adhere to College and LCTC policies.
- Embrace college culture.
- Complete all required assignments prior to deadlines (e.g., Fletcher/LCTC trainings).
- Perform other duties as assigned.
Associate’s degree in Information Systems, Data Science, Business, or a similar field with five years’ experience. One to two years of experience in institutional research, data management, or a related field. Bachelor’s degree in a related field may substitute for the Associate’s degree and five-year experience only. Strong analytical and problem‑solving skills. Detail‑oriented with a focus on data accuracy and integrity.
RequiredExperience
Experience with data analysis and reporting tools (e.g., Cognos, Excel, SQL) is highly desirable. Knowledge of institutional reporting and higher education data systems, survey design and analysis, and familiarity with survey tools (e.g., Qualtrics, Survey Monkey).
