Description

The National WWII Museum is currently seeking a Specialty Sales Manager for Field Trip Sales & Operations. The Field Trip Sales and Operations Manager is responsible for outreach, booking, and managing field trip visits. This role coordinates reservations, including processing bookings, processing payments, handling schedule changes along with Education, and maintaining accurate records that pertain to school field trips. The Manager serves as the primary point of contact for teachers and school representatives, providing timely communication and support from initial inquiry through the day of the visit.

Responsibilities also include scheduling orientations and lunch arrangements, collaborating with the Education team on field trip outreach initiatives, and ensuring a seamless and engaging experience for all field trip groups. Strong organizational

skills, attention to detail, and excellent customer service are essential for success in this role.

Requirements
  • Manage all field trip bookings from initial inquiry through confirmation and arrival.
  • Process bookings, invoices, deposits, and payments accurately and in a timely manner.
  • Serve as the primary point of contact for teachers and school administrators, responding promptly to inquiries via phone and email.
  • Coordinate and communicate all reservation details, including schedules, program selections, arrival procedures, and special accommodations.
  • Manage booking modifications, bus stipends, cancellations, and rescheduling requests while maintaining accurate records.
  • Assist when needed for Field Trip check in, especially during busy seasons.
  • Schedule and coordinate teacher orientations, pre-visit planning calls, and on-site logistics with Education department.
  • Arrange and confirm lunch schedules, designated eating spaces, and connect school groups with Sodexo when they have any catering needs.
  • Work hand in hand with the Education Department on developing SOP’s, schedules and booking forms for Operation Field Trip.
  • Collaborate with Education on Field Trip outreach to schools that have not visited before.
Qualifications
  • Working with Teachers/Educational background preferred but not required.
  • Excellent phone skills
  • Experience balancing daily receipts.
  • Knowledge of the Galaxy Ticketing system is preferred.
  • Computer skills, including Excel, Word and Outlook.
  • Experience working with the public.
  • Willingness to work in a team environment.
  • Excellent oral communication skills.
  • Initiative, organizational skills and good judgment.
  • Ability to work accurately in a fast-paced environment.
  • Ability to make informed decisions with limited supervision.
  • Dependability and excellent attendance record.
  • Willingness to work overtime during special events or heavy visitation periods.
  • A flexible schedule. Weekend and holiday work REQUIRED.
  • Ability to push, pull, and lift weights up to 20 pounds. May require prolonged standing and/or walking during which time objects are transported. May require bending, squatting, or reaching and occasional use of equipment.
