Position Summary

The Student Enrollment Coordinator (SEC) will be responsible for coordinating enrollment placements for students and families who enroll at any New Orleans public school participating in the unified Early Childhood and K-12 enrollment systems. The Student Enrollment Coordinators will perform all direct enrollment services, including new admissions, readmissions; early childhood eligibility verifications, placements, and waitlist management; and assist visitors with auxiliary student services such as issuing work permits and community/student outreach.

The Student Enrollment Coordinator will need to be comfortable rotating and traveling between various Family Resource Center locations.

Essential Duties and Responsibilities

Communication:

  • Adhere to all Family Resource Center protocols, including providing exceptional customer service and maintaining accurate records of incoming visitors;
  • Communicate highly effective oral, written, and digital communication expectations to families;
  • Maintain Family Services expectations for phone and virtual calls, emails, tickets/cases, and enrollment systems (Avela, Calendly, Salesforce, Omni-Channel, Microsoft Teams, Zoom);
  • Adhere to team/department expectations utilized for current and/or future enrollment implementations;
  • Provide interpretation/translation services to families, when appropriate.

Early Childhood Enrollment:

  • Provide families with objective, informed information regarding Early Childhood enrollment options, support the Early Childhood application process, and assist families with waitlist;
  • Determine applicant eligibility for publicly funded early childhood seats by learning and understanding eligibility criteria and verifying income, residency, and other legal documents against those criteria;
  • Document every Early Childhood account/application to reflect current family SNAP, verification, and in-person and virtual communication statuses;
  • Successfully verify >95% of assigned Early Childhood applications and application documents based on team expectations and EC local, state, and federal verification categories.

K-12 Enrollment:

  • Provide students and families with objective, informed information regarding citywide school choice, perform support of the application process, and manage mid-year and pre-year school placements for families moving to the city throughout the year;

Community, Student, and Family Outreach:

  • Participate in occasional evenings and/or weekend enrollment events providing support for enrollment activities for New Orleans families and students throughout the year;
  • Attend scheduled outreach activities per fiscal year (virtual or in-person);
  • Escalate parent and student concerns as needed to management, in coordination with district accountability offices and standards.

Coordination:

  • Ensure Family Resource Centers are welcoming, organized, and maintained, including keeping a tidy work environment;
  • Maintain conscientious student data using Salesforce and Avela enrollment platforms, in alignment with district standards and State and local student privacy laws;
  • Internalize and implement all district guidelines pertaining to enrollment procedures and parent rights and responsibilities, including State and local guidance on specific student populations, such as students with special needs, limited English proficiency, and early childhood education students;
  • Escalate parent and student concerns as needed to the Executive Director of Family Services, in coordination with district accountability offices and standards;
  • Perform additional student services as needed, including calls and text messages, attendance at community events, work permit issuance;
  • Attend staff and other district meetings as necessary;
  • Perform other duties as required.
Educational Background
  • A minimum of 48 college credited hours required.
