Join Solomon Group’s team creating high profile one-of-a-kind events and experiences. Whether planning and executing exceptional high end luxury hospitality experiences, custom brand activations or large-scale fan events, the team provides innovative productions, best-in-class consumer engagement, and world class fan experiences. The Solomon Group Live Events team is responsible for all aspects of luxury hospitality experiences and live events, including concepting and ideation, design, vendor selection, budgeting, production and operations, activation and on-site execution.
The group also works closely with clients, sponsors and activation agencies to ensure seamless partner integration into the events. In the past year, the team has produced events, fan experiences, activations and luxury hospitality experiences at NCAA Men’s and Women’s Final Four, Super Bowl, World Cup, NFL Draft, College Football Playoff, NHL Winter Classic, MLB All Star, and Essence Festival.
OF THE POSITION
The Coordinator will play a key role on Solomon Group’s Experiential team, supporting the planning and execution of live events, brand activations, hospitality programs, and other consumer-facing experiences. They will work alongside producers, creative teams, and clients from concepting through execution, while helping ensure deadlines, budgets, and deliverables are achieved.
While working primarily on fan-focused sports and entertainment events, the role will contribute across the full planning lifecycle, participating in creative brainstorming, client discussions, pitch deck development, operational planning, and on-site execution. It requires someone who is highly organized, proactive, an excellent communicator, and a collaborative team player.
The Coordinator will need to be equally comfortable owning administrative responsibilities, such overseeing show documents and supporting budgets and being on-site executing event plans.
RESPONSIBILITIES- Support the planning, production, and execution of live events, brand activations, hospitality programs, pop-ups, and experiential campaigns.
- Develop and maintain production schedules, project trackers, run-of-show documents, contact sheets, and event recaps.
- Coordinate event elements and logistics, including venues, vendors, equipment, transportation, shipping, staffing, permits, and credentials, and onsite requirements.
- Request and organize vendor proposals, estimates, contracts, certificates of insurance, and invoices.
- Track project expenses, purchase orders, payments, and budget updates in partnership with producers and finance teams.
- Communicate project updates, deadlines, and deliverables to internal teams, clients, venues, and external partners.
- Support creative production elements, including signage, branded materials, décor, displays, promotional items, and digital assets.
- Coordinate product, equipment, and material shipments to ensure accurate and timely delivery.
