Department Overview
The Catering and Events Department is responsible for the management of contracted groups and social event food/beverage and meeting room revenues and experiences, room block management, negotiation of supplier services. Ensuring event planner satisfaction while meeting and or exceeding department and individual revenue goals.
Position Statement
As an Event Meeting Manager serves as the primary contact for groups and event planners following the sales turnover process and is responsible for the successful planning, coordinator, and execution of meetings, conventions and special events. This position as at the liaison between the customer and the hotel departments, ensuring all event requirements are communicated and executed flawlessly. The Events & Meetings Manager is responsible for building strong client relationships, maximizing revenue opportunities, delivering exceptional service, and creating experiences that drive customer satisfaction and repeat business.
Position Summary
As a Team Member, your essential functions in this role include such things as:
- Provide direction, leadership, and supervision to affected departments and team members during the
- planning and execution of meetings, conferences, and special events.
Serve as the primary on-site contact for group and catering clients, ensuring exceptional service and proactive communication throughout the event lifecycle. - Organize, prioritize, and manage daily responsibilities by establishing effective plans, timelines, and operational goals.
- Communicate promptly and professionally with internal and external clients via telephone, email, written correspondence, and in person.
Demonstrate proficiency in hotel operating systems, Delphi, booking platforms, products, services, and brand standards. - Build and maintain strong client relationships through effective communication, problem-solving, and service recovery.
- Resolve guest concerns, complaints, conflicts, and operational challenges in a timely and professional manner.
- Influence and support sales efforts by identifying opportunities to enhance the guest experience and maximize revenue.
- Analyze operational issues, make sound decisions, and implement appropriate solutions to ensure successful event execution.
- Ensure exceptional guest service by communicating client expectations to hotel departments and providing guidance, feedback, and coaching when appropriate.
- Participate in customer site inspections and assist the Sales team throughout the sales and contracting process as needed.
- Maintain accurate event records, Banquet Event Orders (BEOs), Group Resumes, meeting room assignments, and client correspondence within Delphi and other hotel management systems.
- Prepare, review, and distribute Banquet Event Orders (BEOs), Group Resumes, and other event-related documentation in a timely manner.
- Conduct pre-conference meetings, planning calls, and pre-event briefings with clients and hotel departments.
- Coordinate meeting room setups, banquet functions, food and beverage requirements, audiovisual needs, transportation, entertainment, and third-party vendor services.
- Partner with all hotel departments to ensure seamless execution of meetings, events, and group functions.
- Monitor event billing, review banquet checks, reconcile final charges, and ensure accurate client invoicing.
- Ensure compliance with hotel brand standards, company policies, safety procedures, and service expectations.
- Attend and actively participate in required meetings, including but not limited to Credit Meetings, Daily Stand-Up Meetings, Sales Meetings, and Operations Meetings.
Perform additional duties and special projects as assigned to meet business needs.
Maintain regular and reliable attendance.
