Human Resource and Administrative Staff, as assigned

Summary Of Responsibilities

The Director of Administration oversees and focuses on the administrative function of the organization, including the day-to-day human resources operations, and ensures smooth office management. This position combines managing HR administrative responsibilities and internal operations and ensuring smooth daily operations and office coordination to support a productive and positive work environment.

The ideal candidate is highly organized, with prior management level experience. Candidates should demonstrate prior experience working with a team, detailed-oriented with strong knowledge of human resource law and excellent interpersonal skills.

Essential Duties Human Resources Administration
  • Maintain employee records and HR databases, ensuring accuracy and confidentiality.
  • Assist with recruitment processes, including job postings, scheduling interviews, and onboarding new hires.
  • Supervise the Human Resource Director and day‑to‑day human resource function and other office operational matters such as office assets, off‑site record storage, office supplies.
  • Assist with identifying staff development opportunities related to agency staff.
  • Coordinate employee benefits enrollment and respond to related inquiries.
  • Support performance management processes and maintain compliance with labor laws and company policies.
  • Prepare HR reports and assist with payroll processing as needed.
  • Serve as the first point of contact for HR‑related questions from employees.
Office Management
  • Oversee daily office operations, including supplies, inventory, vendor management, and equipment maintenance.
  • Manage office budget and track expenses.
  • Coordinate meeting logistics, company events, and travel arrangements.
  • Ensure a safe, clean, and well‑organized office environment.
  • Implement and maintain office policies and procedures.
Qualifications

To perform this job successfully, candidates must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skills, and/or abilities required.

Education and Experience Required
  • 6+ years of experience in HR administration and/or office management.
  • 6+ years of experience directly managing personnel.
  • Strong knowledge of HR practices and employment laws.
  • Bachelor’s degree in human resources, Business Administration, or related field.
Preferred
  • Master’s degree in Human Resources, Business Administration, or related field.
Skills and Competencies
  • Excellent verbal and written communication.
  • Excellent problem‑solving skills, anticipating potential issues and facilitating timely resolution.
  • Strong interpersonal skills with proven ability to foster and maintain relationships with internal staff.
  • Ability to exercise sound judgment, working independently with minimal direction and supervision and escalating issues as necessary.
  • Concurrent management of multiple scopes of work and tasks.
  • Demonstrated ability to collaborate and work as a member of a highly motivated and professional team.
  • Detail‑oriented and well‑organized.
  • Fluent in all components of Microsoft Office.
  • Demonstrated ability to respect and maintain confidentiality whether written or verbal.
  • Ability to adapt in a fast‑paced environment.
Compensation and Benefits
  • Salary:
    Commensurate with experience.
  • Insurance:
    Generous employer‑sponsored health, dental, vision, life, and other supplemental coverages available.
  • Retirement: 457(b) plan with up to 5% employer‑matched contributions.
  • Paid Leave: 10 paid holidays each year, 12 annual leave days accrued in first year 12 sick days accrued in first year.
