Ogden Museum of Southern Art’s Development Department is responsible for all individual, corporate, and foundation fundraising activities. These activities include major gift solicitations, grant writing, the Museum’s membership program, special events, fundraising campaigns, and many other activities that support the growth of the Ogden Museum and its mission. Reporting to the Director of Development and Deputy Director of Exhibitions & Advancement, the Membership & Development Specialist will maintain accurate and up-to-date records of donations and membership transactions and is responsible for assisting in the development and execution of fundraising efforts to increase the Museum’s membership base and to ensure adequate funding for its operations.
The Membership & Development Specialist oversees a full-time Membership & Development Coordinator.
- Maintain donor stewardship plan, ensuring donors are acknowledged and informed throughout the year
- Ensure the timely and accurate completion of tax acknowledgement letters and thank-you correspondence
- Support and coordinate correspondence from Executive Administration
- Maintain accurate records and regularly update information in CRM database
- Assist as needed with the Richardson Society member-only events as well as recruitment and cultivation events throughout the year
- Generate weekly gift report of the previous week’s donations and membership transactions to share with Executive team and use for tracking of donor thank you emails
- Coordinate with Exhibitions Department to notify and thank artwork lender/donors, prior to each exhibition; provide complimentary membership for artists, share reception invitations and collect guest contact information for invitation mailing lists as needed
- Collaborate with the Marketing & Communications Department to create invitations to exhibition opening receptions; creating invitation lists and track RSVP’s
- In collaboration with the Director of Development, follow an annual grants calendar and lead the research, writing, and submission of grant applications from established and/or recurring funders for education and general operating support; complete all required reporting for any grants received
- Assist in the creation of appeal and invitation mailing lists to ensure all necessary parties are included; monitor the Museum’s USPS Bulk Mail account and create mailings using the bulk mail system when necessary
- Support the annual GiveNOLA Day campaign including marketing efforts and timely acknowledgement of gifts
- Assist in organizing and implementing the annual appeal for education programming and year-end general operations appeal in coordination with the Director of Development; track funding received for exhibitions and appeals; generate and share donation reports as requested
- Staff occasional evening and weekend events
- Participate in the planning and execution of two major fundraising events:
Magnolia Ball and O What a Night! Gala (OWAN) - Take a lead role in communicating with committee members for both events
- Assist with tracking responses for OWAN table & ticket sales, sponsor ships, and in-kind donations
- Assist the Director of Development with solicitations for artwork and coordinate details of the OWAN silent auction as needed
- Supervise the check-in process at Magnolia Ball and OWAN
- Assist in ensuring the accurate recognition for all monetary and in-kind donors to O What a Night!, including website, invitation, auction website, catalogue, step and repeats, and recognition at the event
- Assist with tracking Magnolia Ball ticket sales, sponsor ships, and in-kind donations
- Coordinate details of the Magnolia Ball silent auction with the Director of Development including soliciting donations of artwork and items
- Assist in ensuring the accurate recognition for all monetary and in-kind donors to Magnolia Ball, including website, invitation, auction website, step and repeat, and program
- Initiate and track event follow up including coordinating auction item pick-up and payment processing
