SUMMARY

The Administrative/Office Coordinator will provide day-to‑today support during in office days (Monday, Tuesday, and Thursdays). The incumbent will provide support to all employees as needed, with an emphasis on support for Senior Managers.

ESSENTIAL DUTIES/RESPONSIBILITIES
  • General miscellaneous administrative functions for the office, including (but not limited to) ordering lunches for meetings as requested, keeping kitchens, break room and conference room clean and organized and supplied after use
  • Serve as the primary point of contact for front‑of‑office coordination on in‑office days. Update & distribute the employee phone list & seating chart as needed
  • Provide vendor management for corporate accounts including Fed‑EX, UPS, USPS, Google Docs, Verizon, etc.
  • Become a member of the Party Committee and assist with planning, scheduling and administrative support for the committee
  • Support employee engagement initiatives beyond the Party Committee (culture events, recognition programs, milestone celebrations)
  • Order bi‑monthly Thursday breakfasts; set up and clean up afterward
  • Order food for fruit & veggie Mondays; set up and clean up afterward
  • Send Birthday Cards to employees with gift cards & coordinate quarterly birthday celebrations
  • Schedule personal appointments for executives and provide other support to Senior Management as requested
  • Assist with the organization, etc. for Investor meetings, Advisor meetings and Company meetings with direction from the Executive Assistant and/or Executives
  • Provide overflow calendar coordination, travel support, and ad‑hoc administrative assistance to senior leaders
  • Coordinate follow‑ups from meetings (notes distribution, action item tracking when requested)
  • Assist with expense tracking and reimbursement submissions for senior team members
  • Support preparation and logistics for meetings with investors/lenders, site visits, and firm‑hosted events
  • Help gather content (photos, milestones, updates) for newsletters and internal marketing efforts
  • Coordinate and order the annual holiday chocolate or other gift for clients/vendors and employees
  • Coordinate and order annual holiday gifts for employees
  • Other miscellaneous office tasks, including back‑up for the Assistant Property Manager, as needed
QUALIFICATIONS

Due to the fast‑paced nature of the job, we need the Office Coordinator to be highly organized and able to multi‑task proficiently and prioritize work. In addition, the ideal candidate must bring a positive attitude to the team every day – this position will be interacting with most employees in the company. Additional qualifications include:

  • High School Diploma: college degree preferred, but not necessary
  • Minimum 3 – 5 years of administrative/office experience
  • Demonstrated customer service skills
  • Proficient in Microsoft Office Suite
  • Excellent organizational skills
  • Ability to prepare basic spreadsheets, reports, and general business correspondence
  • Strong communication skills; both verbal and written
  • Strong work ethic; a self‑starter
  • Outgoing and pleasant demeanor, willing to go the extra mile and focused on exceptional customer experience
ESSENTIAL FUNCTIONS
  • Ability to comply with company rules and regulations.
  • Ability to sit and stand for extended periods.
  • Ability to communicate effectively and courteously with internal and external customers through two‑way verbal and written communication (speech, hearing, and writing).
  • Ability to operate various office equipment efficiently (computer, phone, copier, etc.).
  • Occasionally lift up to 20 pounds.
  • Valid driver’s license and ability to operate a vehicle for company errands.
  • Ability to work independently and refer appropriate matters to supervisor when necessary.
