Office Manager
1. POSITION SNAPSHOT

The Office Manager serves as the face of Flack Tek and owns the office experience for team members, customers, candidates, vendors, and visitors. This role is responsible for creating a professional, welcoming, organized, and highly functional workplace environment that reflects Flack Tek’s culture and standards.

The Office Manager takes pride in noticing what others may miss. They keep the office ready, help people feel supported, solve problems as they arise, and make sure the details of the workplace experience are handled with care and follow-through.

Success in this role requires exceptional communication, adaptability, strong ownership, and a genuine passion for helping others. The Office Manager serves as a trusted resource across the organization, balancing a wide variety of requests, asking thoughtful questions, coordinating priorities, and driving work to completion.

This role reports to the:
Human Resources Director

2. PRIMARY OUTCOMES
  • Team member, visitor, customer, and candidate experiences consistently reflect Flack Tek’s culture, hospitality, professionalism, and pride in our workplace
  • Office operations, facilities, supplies, and workplace needs are proactively managed with minimal disruption
  • Internal requests are handled professionally, prioritized appropriately, and driven to completion
  • Scheduling, coordination, and administrative support activities are executed accurately and on time
  • Workplace issues are identified and resolved before they impact team members, customers, or operations
  • Team members trust this role as a reliable resource for support, coordination, and problem-solving
3. CORE RESPONSIBILITIES
  • Own the overall office experience and take pride in creating a workplace that feels welcoming, polished, and cared for
  • Create a professional, warm, and helpful first impression for everyone who walks through Flack Tek’s doors
  • Keep the office ready, organized, stocked, and operating smoothly each day
  • Notice what needs attention and take initiative to address it before being asked
  • Support project-based work and administrative needs as priorities arise across the business
  • Manage competing requests from multiple departments with professionalism and follow-through
  • Ask thoughtful questions, gather the right information, and drive solutions to completion
  • Support scheduling, meetings, interviews, visitors, and office coordination needs
  • Support onboarding tasks and help create a welcoming experience for new team members
  • Coordinate with vendors and service providers to resolve workplace and facilities needs
  • Support team member events, celebrations, and team experience activities
  • Communicate clearly, respectfully, and proactively with all stakeholders
  • Escalate priorities, risks, or roadblocks appropriately while maintaining ownership
  • Anticipate needs and help solve problems before they impact the team
  • Build trust by being responsive, reliable, resourceful, and easy to work with
4. MINIMUM QUALIFICATIONS
  • Education:
  • High school diploma or equivalent required
  • Experience:
  • 1-3 years of professional work experience in customer service, hospitality, administration, operations, retail leadership, event coordination, or other roles requiring strong communication, organization, and accountability
  • Demonstrated experience managing multiple priorities in a fast-paced environment
  • Technical

    Skills:

  • Proficiency with Microsoft Office or Google Workspace
  • Comfort learning new software systems and workplace tools
  • Excellent written and verbal communication skills
  • Ability to organize information, coordinate tasks, and manage follow-through
