POSITION SUMMARYThe AP/AR Clerk supports the company’s financial operations by processing vendor invoices, customer payments, billing, account reconciliations, and related financial records. This position helps maintain accurate, timely, and well‑organized accounting information while providing professional service to vendors, customers, and internal departments.
ESSENTIAL DUTIES AND RESPONSIBILITIES- Review vendor invoices for accuracy, appropriate approvals, and supporting documentation.
- Enter invoices and credit memos into the accounting system.
- Match invoices with purchase orders and receiving documentation.
- Prepare scheduled check runs, ACH payments, and other vendor payments.
- Reconcile vendor statements and investigate discrepancies.
- Maintain vendor records, including W-9 forms and payment information.
- Respond to vendor questions regarding invoices and payment status.
- Assist with year‑end 1099 reporting.
- Prepare and issue customer invoices and credit memos.
- Record customer payments and apply them to the appropriate accounts.
- Monitor aging reports and follow up on past‑due balances.
- Research and resolve billing and payment discrepancies.
- Maintain accurate customer account and contact information.
- Prepare customer statements and collection correspondence.
- Assist with credit applications and account setup.
- Reconcile AP and AR subledgers to the general ledger.
- Assist with month‑end closing activities.
- Prepare bank deposits and supporting documentation.
- Assist with audits by providing requested documentation.
- Follow internal controls, accounting procedures, and confidentiality requirements.
- Perform other accounting and administrative duties as assigned.
- Two years or more experience in accounting or related field preferred.
- Self‑starter and team player.
- Strong mathematical skills and analytical skills.
- Proficient in Microsoft Word and Excel.
- Excellent oral and written communication skills.
- Proven ability to handle multiple projects simultaneously.
- Ability to read and analyze financial reports.
