The Billing Specialist is responsible for accurately preparing, processing, and reconciling client invoices and vendor bills across assigned territories while ensuring compliance with company accounting standards and deadlines. This role manages multiple work order systems and client‑specific billing provisions, maintains invoice data integrity within CRM and third‑party platforms, and resolves invoicing discrepancies efficiently. The Billing Specialist serves as a key point of contact for internal teams, clients, and vendor partners, delivering high‑quality customer service while supporting continuous process improvement in a fast‑paced, deadline‑driven environment aligned with Wasteology’s commitment to excellence, accountability, and long‑term partnerships.
EssentialFunctions
Prepare and process client invoices in concurrence with vendor bills
- Manage work order tracker for multiple clients with specific provisions unique to each client
- Maintain ownership of invoicing multiple clients within assigned territories efficiently and accurately
- Process client and vendor invoice discrepancy corrections as necessary
- Ensure efficient invoice entry process in CRM and 3 rd party work order systems
- Post total amounts due, invoice numbers and account numbers in AP ledger log
- Answer external and internal questions regarding account details, client invoices or vendor payments
- Apply quality assurance verification of cost of client invoicing and vendor billing
- Deliver exceptional customer service to our clients and vendor partners
- Ensure accounting procedures comply with company standards involving both external and internal deadlines
- Collaborate with team members to maintain process improvements within the department
- Must possess the ability to communicate effectively with all levels of management, employees and outside contacts
- Participate in professional development, educational activities and attend staff meetings
- Experience working with multiple work order systems and ERP systems
- Experience processing multiple inputs of data to create a single, combined output
- Strong critical thinking skills and problem-solving skills
- Excellent attention to detail and commitment to data accuracy

- Strong organizational and project/time management skills
- Ability to thrive in a fast paced, deadline driven, research intensive environment
- Knowledge of the industry is a plus
