Position Description

The department of University Housing and the Resident Experience (UHRE) is seeking to fill a Department Coordinator V position. The Department Coordinator serves UHRE by delivering excellent customer service to current and future student residents. This position researches policies and procedures, analyzes data, and initiates procedural changes to improve efficiency and accuracy. This position assigns students to rooms, troubleshoots assignment issues, and identifies and develops strategies to communicate effectively with student residents.

The Department Coordinator runs regular and ad hoc reports for department staff and meets regularly with other offices/departments across the University to address student resident matters.

Essential Duties and Responsibilities
  • Plans, manages, and facilitates year‑round student resident room assignments ensuring resident needs are met in alignment with university policies and guidelines
  • Provides exceptional customer support to students and their families completing the housing application and room selection process
  • Identifies, develops, and leads efforts to improve student resident communication strategies
  • Accurately creates and maintains electronic files
  • Run statistical reports regularly to assess current space availability, new applicant numbers, gender counts, etc.
  • Completes billing audits
  • Creates and reconciles ad hoc reports
  • Accurately maintains historical occupancy statistics to help analyze trends and year‑to‑date comparisons
  • Interprets and explains relevant billing and assignment issues to end users of data sent
  • Works closely with UHRE Operations to audit and troubleshoot student accounts related to housing
  • Analyzes systems, policies, and procedures and initiates change to improve departmental efficiency and accuracy
  • Trains staff about room assignments procedures including semesterly training for the Resident Experience staff
  • Consults on assignment‑related events
  • Selects, trains, supervises, evaluates, and terminates student employees when necessary
  • Ensure student staff are properly trained inclusive of creating, updating, and revising training documents, manuals, etc. as required
  • Serves as the direct liaison to other University departments impacted by student resident room assignments
  • Establishes effective relationships with other University departments
  • Ensures all ADA accommodations, ESA accommodations, etc. are aligned with established guidelines
  • Professionally contributes to the UHRE Administrative Team, Operations Team, and Living/Learning Communities, and the Division of Student Affairs Administrative Team
  • Attends student recruitment events, locally and regionally, to advocate for on‑campus housing
  • Participate in professional development opportunities to increase knowledge regarding RMS, room assignments, etc.
Preferred Qualifications
  • Bachelor’s degree with a focus in higher education, student housing, or accounting
  • Four (4) years of related experience
  • Experience or familiarity with Star Rez housing software
  • Experience with Telerik reporting
  • Experience with SQL statement writing
Work Hours and Location

This is a full‑time, non‑exempt position with a 37.5‑hour regular workweek including evening and weekend hours as required. Additional work hours may be required based on department needs, programming, staffing, and/or scheduling. The primary work location for this position is at the Belknap Campus.
