Job Description:
ESSENTIAL JOB FUNCTIONS
- Administers the Mains'l Mailbox (e.g. forwards emails as needed, sorts emails to process Recertifications (recerts), Packets, and Changes of Information). Audits recert documents for completeness and correctness and returns documents for correction to Brokers as needed.
- Processes recerts by setting up new budgets in the Mains'l system.
- Audits Employer/Employee packets for completeness and correctness and sends corrections back to Brokers as needed.
- Inputs data for new clients and employees in the Mains'l system.
- Obtains FEID from the IRS for new employers as needed.
- Completes and sends Kentucky New Hire forms for each new employee.
- Enters data updates in Mains'l and/or Avatar systems (e.g. address changes, direct deposit updates, tax withholding changes, updated contracts with rate changes or service changes).
- Updates training data for Supports for Community Living waiver employees in the training database.
- As needed, performs front-desk/reception functions such as meeting and greeting clients and visitors, answering a multi-line switchboard, forwarding calls to voicemail or staff, taking and delivering messages, copying, sorting, delivering mail, and sending/receiving faxes.

Education- Completion of up to 18 months' business school, beyond high school. Advanced knowledge of Microsoft Office Suite.
- Typing speed 50 - 60 word units per minute.
- Strong oral and written communication skills.
- Ability to work well with all personality types and work under pressure with regards to deadlines.
- Three-to-four years' experience working in an office setting and performing various clerical or administrative tasks.
Position has no unusual physical demands; individual has discretion about walking, standing, etc. Position requires lifting up to 10 pounds, with occasional lifting of ledgers, medical records, or computer runs. Position may occasionally require walking or standing, stooping, or bending. Occasional exposure to office chemicals or continual use of a video display terminal.
Within the bounds of their respective job descriptions, all staff are expected to exercise principle-centered leadership, focused on customer service responsiveness, with a continuous quality improvement orientation. Additionally, all staff are expected to develop a working knowledge of and follow all policies and procedures related to safety management and other Joint Commission standards.
