The Advancement Services Associate serves as a key member of the Advancement team, providing operational, administrative, and database support for advancement functions. This position serves as a primary steward of the Raiser's Edge database and is responsible for the accurate processing and acknowledgment of gifts, constituent and event record management, reporting, ongoing data hygiene, and the continuous improvement of advancement processes and data quality.
The Advancement Services Associate collaborates with all members of the Advancement team to ensure accurate donor records, timely gift processing, meaningful donor stewardship, effective fundraising operations, and data-driven decision-making. This position works closely with the Director of Development, Advancement Services Coordinator, and Business Office to maintain the integrity of donor and constituent data, support financial reconciliation, and strengthen advancement operations through thoughtful process management and attention to detail.
Responsibilities- Serves as a primary administrator of the Raiser's Edge database, ensuring the accuracy, consistency, integrity, and completeness of constituent and donor records.
- Processes gifts, pledges, matching gifts, event revenue, and other development transactions in a timely, accurate, and confidential manner.
- Generates and distributes donor acknowledgment letters, gift receipts, pledge reminders, and other stewardship communications.
- Performs ongoing database maintenance, record updates, duplicate management, constituent research, data validation, and cleanup to support database health and accuracy.
- Creates, maintains, and distributes reports, queries, dashboards, mailing lists, participation reports, and analytical data for Advancement staff and leadership.
- Works collaboratively with the Business Office to ensure accurate reconciliation between Raiser's Edge and financial records.
- Maintains confidentiality and security of donor, constituent, and financial information.
- Supports Advancement events by managing registration data, RSVP tracking, constituent updates, attendance reporting, post-event data entry, and related reporting needs.
- Serves as a resource to Advancement staff regarding database procedures, reporting capabilities, data standards, and record management best practices.
- Proactively identifies data inconsistencies, reporting challenges, and operational inefficiencies, recommending solutions that improve data quality, donor experience, and fundraising effectiveness.
- Collaborates with Advancement team members to evaluate and improve workflows, ensuring efficient and effective advancement operations.
- Demonstrates sound judgment and critical thinking when evaluating constituent data, gift transactions, reports, and operational processes.

Requirements- Experience in advancement services, development operations, database management, administrative support, or a related field.
- Experience with donor databases;
Blackbaud Raiser’s Edge experience strongly preferred. - Demonstrated understanding of fundraising operations, donor stewardship, gift processing, and constituent relationship management.
- Strong data entry, database management, and reporting skills with exceptional attention to detail and a commitment to data accuracy.
- Ability to maintain data integrity through ongoing database cleanup, quality control, auditing, and record maintenance.
- Demonstrated ability to analyze processes, anticipate downstream impacts, identify root causes of issues, and recommend effective solutions.
- Proven ability to exercise critical thinking and sound judgment when managing data, reports, and constituent information.
- Highly self-motivated with the ability to take initiative, work independently, and follow projects through completion.
- Proficiency in Microsoft Office, particularly Excel, and reporting tools.
- Ability to prioritize multiple projects, manage competing deadlines, and thrive in a fast-paced environment.
- Ability to work independently while collaborating effectively as part of a team.
- Ability to maintain confidentiality and exercise discretion regarding donor, constituent, and financial information.
- Strong written and verbal communication skills.
