Office Administrator/ Coordinator, Clerical
Location: Project Based (Travel Required)
Gregory Construction is looking for a highly organized and motivated Project Administrator to support our field leadership on active heavy civil construction projects. This position plays a critical role in keeping projects organized, supporting daily operations, and ensuring accurate project documentation from start to finish.
As a Project Administrator, you'll work closely with Project Managers and Superintendents while serving as a key connection between the field and corporate teams. Responsibilities- Provide day-to-day administrative support to Project Managers and Superintendents.
- Maintain organized project files, schedules, logs, and documentation.
- Process employee timecards, payroll information, and workforce records.
- Coordinate communication between field personnel, office staff, subcontractors, and clients.
- Prepare reports, correspondence, meeting notes, and other project documentation.
- Track safety documentation, training records, and compliance requirements.
- Assist with employee onboarding and project workforce documentation.
- Support project meetings by preparing agendas, tracking action items, and documenting follow-up.
- Help maintain organized, professional project offices and meeting spaces.
- Provide timely updates and administrative support as project needs evolve.
- High school diploma or equivalent required.
- Minimum of two years of administrative experience; construction experience is preferred.
- Proficiency with Microsoft Office Suite, including Word, Excel, Outlook, and Teams.
- Excellent organizational skills with strong attention to detail.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities in a fast-paced construction environment.
- Associate's or Bachelor's degree is a plus.
- Willingness to travel and support active project sites as business needs require.
