Primary Responsibilities
- Meeting and greeting clients and visitors, answering a multi‑line switchboard, forwarding calls, taking and delivering messages, checking in clients (verifying contact information, collecting and documenting payment, notifying clinicians).
- Reconciling the cash drawer; scheduling client appointments; copying, sorting, and delivering mail; sending, receiving, and delivering faxes.
- Interacting with clients to explain and assist in signing intake forms and handling difficult customer‑service interactions in person or by phone.
- Entering client data and program‑specific data into electronic information systems and various databases; providing medical‑records related support to Health Information Management staff as needed.
- File and maintain correspondence, records, reports, and other documents related to site operations.
- Perform administrative functions including typing, data entry, generating requisitions for business cards, training registration fees, and office furniture; taking minutes of meetings.
- Run miscellaneous monthly and quarterly reports, assess validity, correct inaccuracies, take action on results, and coordinate site IT functions.
- Participate in daily deposit process and daily deposit reconciliation.
- Monitor office supplies inventory and order supplies as needed.
- Call prescriptions to pharmacy, coordinate lab appointments, and process lab results.
- Act as liaison with the Properties Department: submit work orders and communicate site needs.
- Act as Infection Prevention Representative: monitor supplies, attend meetings, and communicate prevention measures.
- Perform other job‑related tasks as requested.
High school or GED required. Completion of up to 18 months of business school beyond high school preferred.
Experience and Skills- Three to four years of office experience performing clerical or administrative tasks.
- Advanced knowledge of Microsoft Office Suite.
- Strong oral and written communication skills.
Position requires lifting up to 10 pounds and may occasionally involve walking, standing, stooping, or bending. Exposure to office chemicals or use of a video display terminal is possible.
