Office Administrator/ Coordinator
Our Club is seeking a Workplace Experience Coordinator to create an organized, welcoming, and engaging workplace for employees, visitors, and business partners at the Training Center.
This position supports the day-to-day employee and visitor experience through front‑office operations, Human Resources support, onboarding, employee engagement, internal communications, and administrative coordination.
Because this position handles confidential information, the successful candidate must demonstrate the highest level of integrity, professionalism, discretion, and sound judgment.
ScheduleThis is an in‑office position at the Soccer Holdings Training Facility in Louisville, KY. While the anticipated schedule is Monday through Friday during normal business hours (8:30 a.m.
- 5 p.m.), the Club is flexible and may structure the position as either part‑time or full‑time for the right candidate.
- Welcome and assist visitors, employees, vendors, and guests while providing an exceptional first impression of the Club.
- Serve as a primary point of contact for general office and workplace needs, including the Training Center entrance and visitor assistance.
- Coordinate mail and shipments and maintain office, kitchen, conference room, and other workplace supplies.
- Order and maintain office, kitchen, conference room, and other workplace supplies.
- Coordinate meeting logistics as needed, including scheduling, room setup, catering, materials, presentations, and other administrative support.
- Help maintain an organized, clean, and welcoming workplace and coordinate facility service requests as needed.
- Provide administrative support to executive leadership, including meeting coordination, travel arrangements, and special projects.
- Assist with special projects and perform other duties as assigned.
- Provide administrative and project support to the Vice President of Human Resources and assist with HR initiatives as needed.
- Support employee onboarding and offboarding logistics, including workspace preparation, welcome materials, supplies, and first-day coordination.
- Assist with intern coordination and other employee administrative needs.
- Coordinate employee resources such as apparel, business cards, name badges, office nameplates, and branded materials.
- Support employee engagement, recognition, events, celebrations, and other workplace initiatives.
- Help maintain internal communication channels, including SharePoint, Teams, digital signage, and employee newsletters.
- Two or more years of experience in office administration, employee experience, hospitality, human resources, executive support, workplace operations, or a related role.
- A warm, resourceful, and service-oriented approach with a commitment to creating a positive workplace and visitor experience.
- Exceptional organizational and time-management skills with the ability to manage multiple priorities and follow through on details.

- Ability to handle confidential information with professionalism, discretion, and sound judgment.
- Proficiency with Microsoft Office 365 and the ability to learn new technology quickly.
- Experience with an HRIS or similar business system is a plus.
- Ability to work independently, anticipate needs, and take ownership of assigned responsibilities.
This is an in-office position based at the Soccer Holdings Training Center in Louisville, KY, with occasional work or movement between other Club facilities, including Lynn Family Stadium.
