Summary Job Description
Baptist Health Medical Group is looking for an Administrative Assistant III to join our Kentuckiana Operations Team in Louisville, KY! This will be a hybrid position that requires some days in the office.
Principal Duties and Responsibilities- Coordinates and maintains daily office routines and paperwork for the Executives assigned to.
- Ensures calls/messages or high priority information are communicated appropriately.
- Composes, transcribes, proofs, and/or edits letters, memos, and various documents in a timely and accurate manner.
- Schedules, distributes notices, attends, takes and maintains minutes for important meetings as required.
- Make arrangements for programs, conventions and seminars that may include travel arrangements, hotel or meeting accommodations, registration, and itineraries.
- Organizes and maintains file systems for correspondence and other records.
- Update contact lists and directory lists as needed.
- Prepares outgoing mail and correspondence, including email and faxes.
- Greets visitors and employees, assisting and directing if necessary.
- Assists in coordinating special events such as meetings, employee events, etc.
- Keeps expense records and creates spreadsheets for productivity data.
- Keep invoices and route for signature-submit for payment.
- Provides coverage for other Administrative Support Assistants in their absence.
- High School Diploma or Equivalent required.
- Associates degree in secretarial studies strongly preferred 3+ years experience in an administrative role supporting executives
- Ability to type 50 wpm or better preferred
- Working knowledge of Microsoft Office software
