Overview
Kentucky’s leading strategic communications firm is seeking a Business Manager to keep our engine running smoothly. You’ll own end-to-end business and financial operations—from payroll and HR to facilities and finance oversight—while also providing direct support to the firm’s partners and senior leadership team. Your work will ensure proper business functions that support the firm’s delivery of exceptional service to clients and help maintain operational excellence behind the scenes with our talented staff.
Key Responsibilities- Assist the firm’s partners and leadership team in successfully operating the business of our award-winning public relations and public affairs firm.
- Maintain overall financial picture of the business and provide regular reporting and support to the firm’s two founding partners.
- Supervise contract bookkeeper and accountant; ensure accuracy and timeliness of financial reporting.
- Manage monthly invoice, quarterly business, and annual business review meetings.
- Oversee payroll processing, benefits administration, hiring workflows, business insurance, HR documentation, certain aspects of employee and contractor onboarding.
- Coordinate with business and health insurance vendors.
- Manage facility operations, including vendor relationships, space planning, and office maintenance, external IT support coordination, etc.
- Coordinate tax filings and compliance deadlines with external accountants.
- Support founding partners with tax preparation as it relates to the firm’s business.
- Handle banking activities: cash management, bill payments, and reconciliations.
- Streamline new business intake and client administration, including preparing contracts (from template), internal onboarding of new clients, oversight of client billing, etc.
- Bachelor’s degree in Business Administration, Accounting, Human Resources, or related field. Experience in a consulting firm or similar is preferred.
- Minimum 5 years of operations management experience, ideally in a professional services or agency environment.
- Proficiency with Quick Books (or similar accounting software) and Microsoft 365 suite.
- Knowledge of HR requirements, benefits administration, and employment law.
- Demonstrated project management skills, with ability to juggle multiple priorities, tight deadlines, and working with multiple teams within the agency.
- Experience working in management consulting, public relations or marketing agencies.
- Familiarity with contracts and/or experience drafting client/vendor agreements.
- Experience with project management and business operations.

- Primarily office environment in Louisville, KY
- Occasional travel (local vendor meetings, facility walkthroughs)
- Standard business hours, with flexibility for urgent deadlines
