Position Overview

As a Student Financial Services Specialist at Galen College of Nursing, you will provide information, guidance, and assistance regarding various types of financial assistance—including, but not limited to, federal financial aid, state aid, workforce agencies, employer payments, and VA benefits—to facilitate the enrollment, persistence, and completion of students, consistent with the College’s mission.

Key Responsibilities
  • Assist and guide active students throughout their program, including but not limited to: contact current students about missing or incomplete documents, assist with completion of forms, review financial aid applications for accuracy and ensure eligible aid is packaged and disbursed in a timely manner, support students in managing additional financing options (state aid, workforce agencies, employer payments, VA benefits, etc.), create payment arrangements on term balances to support campus cash collections, and at program end track and document completion of Exit Counseling and follow‑up with students as necessary.
  • Provide continued support and education to students and their parents on topics related to financial aid—including but not limited to Title IV federal financial aid, eligibility, financial literacy, and loan repayment.
  • Thoroughly document student communication in the student information system, including email, phone calls, text messages, and meetings.
  • Assist in other phases of financial aid, enrollment, and student support, as necessary.
  • Maintain confidentiality of students and student information and follow guidelines by regulatory bodies such as FERPA, the Department of Education, other Galen accrediting agencies, federal, state, and local laws.
  • Maintain current knowledge of college policies and processes and relevant accreditation and regulatory requirements.
  • Attend financial aid training, workshops, and seminars, as necessary or requested by the College.
  • Other duties as assigned.
Position Requirements
  • Education:

    minimum of a bachelor’s degree. Equivalent experience in lieu of a degree will be considered.
  • Experience:

    experience working with federal financial aid programs preferred, but not required; experience working with customer financial accounts preferred, but not required.
  • Skills:

    must possess excellent written and oral communication skills and excellent customer service skills; strong organizational skills and ability to prioritize and complete simultaneous projects while meeting deadlines; ability to maintain confidentiality and discretion at all times; must be a team player by assisting and encouraging other Galen employees.
  • Special

    Qualifications:

    working knowledge of Microsoft Office products; must be able to secure access to all Department of Education websites, including but not limited to NSLDS, COD, CPS; candidates should have no prior history of student loan default.
  • Physical/Mental Demands & Work Environment: must be able to sit at a computer desk for eight hours each day; must be available to work a flexible schedule to include some evenings and occasional weekends.
  • Degree of Supervision: minimal.
