The Human Resources Coordinator at Aptiva Health plays a vital role in supporting a rapidly growing, multi-specialty medical group dedicated to delivering comprehensive orthopedic and acute-injury care across Kentucky and Indianapolis. This full-time position provides administrative and operational support across key HR functions, including recruiting and onboarding coordination, employee records management, benefits administration, and employee relations support. The coordinator maintains confidential personnel files and HRIS data, ensures compliance with federal and state employment laws, assists with job postings and offer documentation, and serves as a point of contact for employee inquiries.
Working collaboratively with payroll, accounting, and IT, the HR Coordinator helps foster a professional, organized, and service-oriented environment aligned with Aptiva Health’s core values of transparency, fairness, innovation, and hospitality.
- Answers, transfers, and screens phone calls; greets visitors professionally.
- Maintains accurate and organized filing systems (physical and electronic).
- Prepares correspondence, reports, agendas, and schedules for meetings.
- Performs general clerical duties and other ad-hoc administrative tasks as assigned.
- Coordinates and schedules candidate employee onboarding.
- Serves as a backup to the recruiter.
- Assists with job posting and sources candidates via job boards and internal tools.
- Prepares and organizes offer letters and onboarding packets when needed.
- Maintains employee personnel files, both hard copy and digital, with confidentiality.
- Maintains Forms I-9, ensuring documentation compliance.
Maintains HRIS/employee database accuracy and performs routine audits. - Ensures compliance with federal/state employment laws and company policies.
- Assist with administering benefits plans: enrollments, changes, and terminations.
- Responds to basic employee benefits questions and directs complex issues appropriately.
- Assists with open enrollment processes and benefit documentation.
- Acts as point of contact for employee inquiries and HR‑related questions.
- Assists in resolving general HR issues and escalates more complex cases.
- Supports performance review coordination.
- Works with payroll, accounting, and IT on cross-department HR needs.
- Strong verbal and written communication for internal/external interactions.
- Professional, tactful, effective at building relationships.
