The project coordinator will partner with team members from across the organization and external partners to support various projects aiming to improve internal functions and/or to develop and launch new or expanded services. This position will ensure that Volunteers of America Mid‑States continues to meet the critical needs of those in our communities with the greatest need.
WHAT YOU MUST HAVE- A bachelor’s degree in business administration, project management, public administration, nonprofit management, social work or related field required.
- 1 – 2 years’ experience in project management or coordination is required.
- Strong written and verbal communication skills are required.
- Proven ability to prioritize and manage multiple projects and relationships.
- Attention to detail including organization, diligence, and time management skills.
- Knowledge of Envisio or project management software is a plus.
- Knowledge of construction projects and operations is a plus.
- Coordinate and manage projects across multiple programs with both internal and external focus.
- Support program expansions and projects by managing tasks such as locating office spaces, managing IT requests, procuring furniture, and facilitating other start‑up needs.
- Develop detailed project task lists, assign responsibilities to appropriate team members, and monitor progress to ensure timely completion of deliverables.
- Plan, schedule, and facilitate cross‑departmental meetings, ensuring productive collaboration and clear communication.
- Participate in the development, management, and monitoring of project budgets to ensure responsible use of resources.
- Create, manage, and maintain comprehensive project timelines to guide execution and track milestones.
- Identify, assess, and address project risks, resolve issues, and respond to questions and concerns that arise.
- Serve as a liaison between the organization and external project partners, fostering effective relationships and information flow.
- Maintain consistent communications with program and department leaders, providing updates on project status, challenges, and achievements.
- Ensure that all project deliverables meet expectations.
- Maintain accurate and organized project documentation, including reports, records, and Doc Link.
- Conduct research to support business development initiatives and internal projects including the strategic use of AI tools when applicable.
- Provide logistical coordination for program launches, site visits, event setups, and other in‑person needs to ensure smooth execution.
- Support the planning and implementation of events such as major fundraisers, panel discussions, and other initiatives that require management expertise.
