Description
The Quality Assurance & Supplier Compliance Coordinator supports the Quality and R&D organizations through ownership and administration of the Quality Management System (QMS) platform, supplier compliance documentation, product specifications, and quality records. This role also supports routine quality activities, basic laboratory testing, and ongoing R&D maintenance initiatives.
RequirementsKey Responsibilities:
QMS Platform Administration
- Serve as the primary administrator for the company’s Quality Management System (QMS) platform.
- Maintain accurate and up-to-date records within the QMS, including documents, workflows, and approvals.
- Manage user access, document version control, and routine system maintenance.
- Support internal users by providing guidance on QMS processes and system navigation.
- Assist with QMS data extraction and reporting to support audits, reviews, and continuous improvement efforts.
- Coordinate the collection, review, and maintenance of annual supplier documentation, including questionnaires, certifications, and compliance records.
- Track document status, expiration dates, and follow-ups to ensure supplier compliance requirements are met.
- Create, update, & maintain product specifications and support documentation within the QMS and related systems.
- Ensure specification changes are accurately reflected, properly approved, and version controlled.
- Support data integrity and alignment across Quality, Regulatory, and R&D records.
- Assist with product change management by updating specifications, workflows, and quality documentation.
- Conduct routine product inspections in accordance with established quality procedures.
- Perform basic laboratory testing and accurately document results in accordance with procedures.
- Escalate non-conformances, deviations, or data discrepancies to the Quality team.
- Reconcile inventory ledger weekly
- Review and reconcile invoices from manufacturing partners
- Bachelor’s degree (or in progress) in Food Science, Chemistry, Biology, Quality, or a related field preferred.
- Strong attention to detail and organizational skills.
- Comfort working within structured systems and controlled documentation environments.
- Proficiency in Microsoft Office (Excel, Word, Outlook).
- Ability to learn and manage software platforms and internal systems.
- Exposure to QMS platforms through coursework, internships, or prior roles.
- Strong written communication, follow-up, and coordination skills.
- Analytical mindset with the ability to identify gaps or inconsistencies in data.
- Ability to adapt to changing priorities in a fast‑paced corporate environment.
- Manage multiple priorities while maintaining accuracy and meeting deadlines.
- Professional, dependable, and detail-oriented.
- Primarily office-based with periodic laboratory or operational exposure as needed.
