Product Change Control Specialist
The Product Change Control Specialist is responsible for managing and coordinating all product-related changes throughout Paradise Tomato Kitchens' (PTK) product lifecycle. This role serves as the central point of control for revisions affecting finished products, raw materials, formulas, recipe cards, job folders, ERP master data, customer data sets, labels, and product specifications.
The Product Change Control Specialist ensures all changes are properly evaluated, documented, approved, implemented, and communicated across the organization. This position works closely with Quality, Regulatory, R&I, Commercialization, Operations, Planning, Supply Chain, Customer Service, and IT to maintain accurate product information and ensure alignment across all systems and documents.
The ideal candidate is highly detail-oriented, organized, and capable of managing multiple concurrent projects while maintaining compliance with customer requirements, regulatory requirements, and PTK's Quality Management System.
Essential Duties and ResponsibilitiesProduct Change Control
- Administer and maintain PTK's product change control process, including full life cycle management.
- Initiate, track, and close change requests.
- Coordinate cross-functional reviews and approvals.
- Ensure changes are properly documented, implemented, and verified.
- Maintain change control logs, records, and revision histories.
Specification Management
- Create, revise, and maintain finished product and raw material specifications.
- Ensure specifications align with approved formulas, customer requirements, labels, and ERP records.
- Coordinate updates related to ingredients, nutritionals, packaging, regulatory, and customer changes.
Recipe Card and Formula Control
- Maintain master recipe cards and formulation records.
- Verify consistency between recipe cards, Bills of Material (BOMs), specifications, manufacturing instructions, and ERP data.
- Support documentation updates resulting from commercialization and continuous improvement projects.
Job Folder Management
- Maintain controlled manufacturing job folders and production documentation.
- Ensure production teams have access to current approved specifications, recipe cards, packaging requirements, and customer instructions.
- Conduct periodic audits to verify document accuracy and version control.
ERP and Master Data Administration
- Manage approved updates to ERP item masters, formulas, Bills of Material, product descriptions, packaging components, and shelf-life parameters.
- Verify system data accurately reflects approved product documentation.
- Work with Operations, Planning, and IT to resolve data discrepancies.
Customer Data Sets
- Maintain customer specifications and product data systems.
- Update customer portals and databases as required.
- Ensure ingredient statements, allergen information, nutrition data, product claims, and packaging information remain accurate and current.
Compliance and Audit Support
- Maintain audit-ready documentation and change control records.
- Support BRCGS, customer, regulatory, and internal audits.
- Assist with corrective actions and continuous improvement initiatives related to document control and product data management.

- Bachelor's degree in food science, Regulatory Affairs, Quality Assurance, Business, or related field or equivalent combination of education and experience.
- Minimum three years of experience in food manufacturing, document control, quality systems, regulatory affairs, specification management, or ERP data administration.
- Knowledge of product specifications and commercialization
- Experience with GFSI standards
- Proficiency in Microsoft Office, including Excel, Word, and SharePoint.
- Strong organizational, communication, and project management skills
