Position OverviewWe are seeking an experienced, licensed real estate professional to serve as our Transaction Coordinator and Administrative Assistant. This is a hybrid position based at our office at 927 E Main Street in Louisville, supporting our Principal Broker in managing complex transactions, development projects, and day‑to‑day operations across our multi‑state portfolio.

Key Responsibilities:Transaction Coordination (50-60%)
- Manage residential and commercial purchase/sale contracts from execution to closing
- Coordinate with title companies, lenders, attorneys, and clients throughout transaction lifecycle
- Track critical deadlines and ensure compliance with all contractual obligations
- Prepare and review closing documents and commission disbursements
- Maintain MLS listings and update transaction management systems
- Support commercial brokerage assignments including broker opinions of value and market analysis
- Assist with construction project documentation, invoice tracking, and contractor correspondence
- Coordinate property management activities across rental portfolio
- Maintain organized filing systems (digital and physical)
- Schedule appointments and manage client communications
- Support multi‑LLC business structure and complex investment transactions
- Help evaluate and implement transaction management software solutions
- Provide general administrative support to Principal Broker
- Active Indiana real estate license OR commitment to obtain within 60-90 days of hire
- Minimum 3+ years of hands‑on real estate transaction coordination or administrative experience
- Strong working knowledge of real estate contracts, compliance requirements, and closing processes
- Proficiency with MLS systems
- Excellent organizational skills with proven ability to manage multiple deadlines simultaneously
- Strong written and verbal communication skills
- Self‑motivated and able to work independently
- Tech‑savvy with ability to evaluate and implement new software systems
- Experience with both residential and commercial transactions preferred
- Experience with investment properties and property management
- Familiarity with real estate development or construction projects
- Understanding of multi‑state transaction requirements
- Experience supporting broker/principal rather than individual agent teams
- Knowledge of various transaction management platforms (Dotloop, Skyslope, Transaction Desk, etc.)
- Base salary: $40,000-$60,000 (commensurate with experience and licensure)
- Performance bonuses based on transaction volume

Hybrid position requiring 2-3 days per week (preferably
3) in office at our 927 E Main Street location in Butchertown. Flexible schedule to accommodate business needs.
