SummaryThe Accounting Specialist is responsible for processing vendor payables, monitoring payment discrepancies, filing sales tax returns, managing fixed assets, and processing company credit cards while following proper company policies. This position works closely with the Controller and other accounting team members to ensure timely and accurate processing of accounting responsibilities.
Duties / Responsibilities- Process AP Invoices (3-way match & expense coding) according to company policy.
- Process credit card charges with receipts & reconcile monthly credit card statement.
- Reconcile vendor statements and manage vendor inquiries.
- Manage and verify all expense reports and ensure compliance with company policies.
- Monitor email inboxes, incoming mail and voicemail for invoices and vendor related inquiries and respond to requests timely and professionally.
- Filing and scanning as needed.
- Prepare daily & monthly journal entries relating to bank transactions and vehicle use.
- Files required tax forms with federal, state, and local government agencies including personal property tax, sales/use tax, and property tax.
- Manage all fixed assets including tracking, depreciation schedules, disposals, etc.
- Obtain and maintain a thorough understanding of the general ledger, cost center, and department structure as it relates to payables.
- Works as accounting team member to improve processes.
- Performs other duties as assigned.
All financial expenditures require approval and are closely supervised. Access to petty cash is included and accountability for expenditure of these funds rests with Accounting Specialist.
Requirements- Knowledge of accounting principles and practices including journal entries, payroll & amortization schedules.
- Computer
Skills:
AP/Accounting Software experience, Electronic AP software, excellent computer literacy, MS Office products experience, especially Microsoft Excel. - Ability to work in a fast-paced environment.
- Must possess attention to detail, strong analytical skills, and organization skills.
- Ability to meet deadlines and prioritize tasks.
- Excellent communication skills.
Must be approachable and responsive to a variety of people and issues. - Ability to add, subtract, multiply and divide in all units of measure, calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages.
- Must be service and safety oriented.
- High school diploma or GED required, an associate’s or bachelor’s degree in accounting or business preferred.
- At least two to five years’ directly related accounting experience required.
- Construction/Manufacturing experience preferred.
