The Proposal & Marketing Coordinator plays a key role at JFT, leading proposal coordination and supporting marketing initiatives across the organization. This position manages the full proposal lifecycle—from opportunity tracking through final submittal—while ensuring compliance with solicitation requirements, internal quality standards, and branding guidelines. The role supports marketing content development, document production, and data management, contributing to high‑quality client deliverables. The successful candidate excels in a deadline‑driven environment, balances multiple priorities, and delivers accurate, well‑organized, and visually polished materials.
REPORTINGTO:

DUTIES & RESPONSIBILITIES:Proposal Coordination & Marketing Support
- Owns execution of the proposal process from solicitation review through final submittal.
- Monitors solicitation websites for new opportunities.
- Develops proposal outlines and prepares proposal sections including resumes, statements of qualifications, and past project profiles.
- Writes, edits, and produces proposal documents to meet solicitation, contractual, and internal quality requirements.
- Organizes and maintains proposal data, resumes, project descriptions, and submittal logs.
- Reviews proposal documents for completeness, accuracy, and compliance; prepares electronic submittals.
- Incorporates graphics, photos, and formatted content into proposals and marketing materials.
- Supports internal team members to deliver high‑quality final documents to clients.
- Updates marketing presentations and coordinates with IT to maintain website content.
- Orders marketing materials and supports social media content as needed.
- Coordination of conference registrations.
- Preparation and collection of conference supplies and equipment.
Must be able to work on a computer (standing or sitting) for most of the day and operate standard office equipment. The ability to communicate effectively in writing and verbally with team members, customers and vendors is essential. May occasionally lift and carry items, typically under 25lbs.
TYPICALWORKING CONDITIONS:
Office environment with occasional exposure to the fabrication/machine shops. JFT has implemented a 9/80 work schedule and the office is closed every other Friday.
QUALIFICATIONS &EXPERIENCE:
- Associate's degree in Business, English, Journalism, Communications, Marketing, or a related field preferred.
- Minimum of 3‑5 years of related experience in proposal writing and marketing, with experience in construction/manufacturing, engineering, and government contracting industries preferred.
- Ability to collaborate across multiple departments.
- Excellent technical writing, grammar, and editing skills.
- Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and Windows operating systems.
This role requires immediate and routine access to restricted information under federal law, including but not limited to Export Controlled Information (ECI), Unclassified Controlled Nuclear Information (UCNI), Controlled Unclassified Information (CUI), Department of Energy Official Use Only (DOE OUO), and/or ITAR‑controlled technical data.
