We are seeking an organized, professional, and customer-focused Office Administrator to become the face of our office while supporting our leadership and project teams. This position is ideal for someone who enjoys variety, thrives in a fast-paced environment, and takes pride in keeping an office running efficiently. While construction industry experience is preferred, it is not required—we are willing to train the right individual with a strong administrative background and a positive attitude.

Position

Summary

The Office Administrator serves as the first point of contact for clients, subcontractors, vendors, and visitors while providing administrative support across the organization. This position is responsible for front office operations, office administration, facility coordination, vendor communications, and assisting project management and leadership with day-to-day administrative needs.

The ideal candidate is highly organized, dependable, proactive, and enjoys creating a welcoming and efficient workplace.

Primary Responsibilities

Front Desk & Reception

  • Welcome clients, subcontractors, vendors, applicants, and visitors with professionalism and courtesy.
  • Answer and route incoming phone calls promptly and professionally.
  • Manage incoming and outgoing mail, packages, and deliveries.
  • Monitor shared office email inboxes and distribute communications appropriately.
  • Maintain a clean, organized, and welcoming reception area.

Administrative Support

  • Provide administrative support to project managers and company leadership.
  • Schedule meetings, appointments, conference rooms, and company events.
  • Prepare, organize, scan, file, and maintain electronic and paper documents.
  • Assist with data entry, spreadsheets, reports, and document management.
  • Maintain company contact lists and office records.
  • Coordinate travel arrangements when needed.
  • Assist with basic marketing activities, including maintaining marketing materials and updating company website content.

Office Operations

  • Maintain office supply inventory and coordinate purchasing.
  • Coordinate grocery and office supply runs as needed.
  • Maintain break rooms, coffee stations, and common office areas.
  • Organize employee meetings, lunches, celebrations, and company events.
  • Coordinate office equipment maintenance and service requests.

Building & Facility Coordination

  • Serve as the primary contact for office building maintenance issues and tenant coordination.
  • Coordinate repairs and maintenance with vendors and property management.
  • Track routine inspections and maintenance schedules.
  • Help ensure a clean, safe, organized, and professional office environment.
  • Communicate with vendors, suppliers, and subcontractors regarding office-related needs.
  • Maintain vendor information and records.
  • Direct customer inquiries to the appropriate team members.
  • Deliver exceptional customer service through professional communication and responsiveness.

Qualifications

Required

  • High school diploma or equivalent.
  • Zero to two years of administrative, office coordination, receptionist, or customer service experience.
  • Strong verbal and written communication skills.
  • Excellent organizational and time-management abilities.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.
  • Ability to prioritize multiple responsibilities while maintaining accuracy.
  • Professional appearance and positive attitude.
  • Valid driver's license and reliable transportation for occasional local errands.

Preferred

  • Associate's degree or administrative certification.
  • Experience in commercial construction, engineering, architecture, or a related industry.
  • Experience maintaining websites or performing light marketing support.
