Work Schedule

At JFT, we work a Monday–Friday 9/80 schedule with every other Friday off, providing the opportunity to recharge, maintain a healthy work-life balance, and return refreshed and energized.

JFT is growing and looking for an Office Manager to join our team in Loveland, CO. The anticipated closing date for this posting is 8/31/26 and applications will be reviewed on a rolling basis.

Function

The Office Manager oversees and coordinates daily administrative operations across all three JFT office locations, ensuring efficient office procedures, organizational support, communication, and overall office functionality.

Duties & Responsibilities
  • Maintain organized office operations and ensure a professional, efficient work environment across all company locations
  • Serve as a primary point of contact for office-related questions, requests, and support
  • Monitor front desk operations and facilitate visitor sign-in procedures
  • Monitor shared company email inboxes and respond or route communications as needed
  • Process, distribute, and coordinate incoming and outgoing mail and packages
  • Manage office supply ordering, stocking, and inventory for all office locations
  • Coordinate vendor services, including cleaning and other office support providers
  • Maintain conference rooms, room schedules, common areas, and shared office spaces to ensure cleanliness and functionality
  • Coordinate meal ordering for All Hands meetings, client visits, and other company events
  • Assist with All Hands meetings and company event coordination and setup
  • Assist with onboarding logistics for new hires, including workspace setup, office access, seating map, and supply coordination
  • Coordinate occasional shipping needs for trade shows, IT equipment, and other business-related items
  • Assist leadership and other department managers with special projects and administrative tasks
  • Support cross-functional communication between departments to maintain efficient daily operations
  • Perform other administrative duties as assigned
Physical Requirements

Must be able to work on a computer (standing or sitting) for most of the day and operate standard office equipment. Ability to communicate effectively in writing and verbally with team members, customers, vendors and applicants is essential. May occasionally lift and carry items, typically under 25lbs.

Typical Working Conditions

This position is primarily on-site in an office environment with periodic exposure to the fabrication and machine shops.

Qualifications & Experience
  • Minimum five years of related experience
  • Experience providing executive administrative support, preferably to C-suite executives, with exceptional professionalism, discretion, and attention to detail
  • Proficiency in Microsoft Office Suite, with emphasis on PowerPoint, Excel, and Word
  • Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively
  • Attention to detail and able to see how the details influence the larger process
  • Ability to problem solve, ask questions and follow through
  • Strong communication skills and able to coordinate with multiple departments proactively
  • Able to work with sensitive information with discretion
Access to Restricted Information

This role requires immediate and routine access to restricted information under federal law. Under applicable DOE orders and client contracts, non-U.S. citizens (including lawful permanent residents) may require an approved DOE Foreign National Visit/Assignment (FNVA) before starting work. Because this position requires immediate access, JFT cannot initiate or sponsor new FNVA processes. Hiring is contingent on the candidate's eligibility to access all required information and facilities as of the start date.
